Responsibilities

Position Summary

       The Materials Manager is responsible for the daily receiving, stocking, and marking of all facility supplies, as well as monitoring/managing and assuring accurate charging of materials and supplies. The Materials Manager is responsible for maintaining adequate supplies for patient care and an orderly supply area for clinical staff while ensuring compliance with corporate contracts for equipment, supplies and rentals. Assures that material is stored in a safe, secure manner and that materials are processed expeditiously with proper paperwork. Maintains a budget control system that assists each department head to contain cost without a negative impact on product selection or patient care.

 

Specific Duties

  • Maintains close liaison with inventory control to ensure that stock levels are adequate within assigned categories.
  • Enters and codes invoices in the Mark view system to facilitate timely payments, and accurate accounting.
  • Reviews and restocks all supplies in the nursing stations that are below par level on a daily basis.
  • Coordinates efforts with departments and receiving personnel to resolve problems encountered with delivery of orders. Maintains files of outstanding orders until deliveries are completed.
  • Maintains supply control mechanisms and provides re-ordering information to prevent stock-outs. Analyzes daily stock status reports to determine re-order point and to place orders as needed.
  • Rotates inventory continually. Develops an effective system to rotate stock to prevent out of dates and to remove expired stock from inventory.
  • Handles all required paperwork on time and correctly. Inputs daily charges to Information Systems. Ensures procedures are effectively in place so that all charges are captured and entered daily. Tickets all items received in a timely manner. Reconciles daily charges with departments. Reconciles last charges for central stores and daily equipment rental. Reconciles per policy and procedures. Charges input to batch control. Remains current on the filing of purchase orders. Maintains equipment inventory and places asset tags on new equipment. Process invoices timely and in accordance with deadlines.
  • Maintains supply rooms and supplies in accordance with regulatory standards.
  • Supervises annual inventory process of central supply area.
  • Performs utilization trend analysis and maintains inventory within budgeted targets.
  • Assures that proper controls are applied so that charges are accurately covered.
  • Interacts with all facility personnel in both a professional yet helpful manner. Assists all facility personnel in obtaining needed stock items. Develops and maintains a positive relationship with clinical staff to ensure supply needs are met. Works closely with the accounting team throughout the month, communicating concerns and meeting required deadlines.
  • Cleans and checks audio-visual equipment to assure that equipment is in working order.
  • Reports faulty equipment and deficiencies in procedures.
  • Maintains event order files, maintenance manuals, and other records pertaining to audio-visual functions.
  • Performs all functions related to shipping and receiving; ensures all packing slips and purchase orders are properly processed.
  • Ensures all in-coming and out-going mail is processed; including daily pick-up from and delivery to the post office and any special processing. Oversees maintenance of rack for internal mail.
  • Performs other duties as requested.

Qualifications

 

Minimum Qualifications

  •  A minimum of three years Accounts Payable and/or Materials Management work experience or equivalent.

Preferred Experience

  •  Bachelor’s Degree preferred.
  • Knowledge of healthcare industry preferred.
