As an Assistant Property Manager for Kids Dental Brands, you will play a crucial role in managing the organization's commercial property portfolio, ensuring smooth operations, and supporting the overall success of the dental group's facilities. You will work closely with the Property Manager and other team members to oversee the day-to-day operations of the properties, handle tenant relationships, and maintain the physical condition of the facilities. This role requires excellent organizational, communication, and problem-solving skills, as well as a strong attention to detail.
Key Responsibilities:
Property Operations
- Assist in the management and maintenance of the dental group's property portfolio.
- Oversee the day-to-day operations of the facilities, ensuring compliance with safety, security, and regulatory standards.
- Coordinate property inspections, repairs, and maintenance activities.
- Address and resolve tenant concerns or issues promptly and professionally.
Tenant Relations
- Act as a primary point of contact for tenants, addressing inquiries, complaints, and requests in a timely and courteous manner.
- Collaborate with tenants to ensure lease compliance, facilitate lease renewals, and handle lease-related documentation.
- Foster positive tenant relationships and promote tenant satisfaction.
Lease Administration
- Assist in the preparation and execution of lease agreements, ensuring accuracy and adherence to legal requirements.
- Maintain organized records of lease agreements, amendments, and other relevant documentation.
- Monitor lease terms, including rent payments, lease expirations, and options, and communicate with tenants accordingly.
Financial Management
- Assist in budget preparation and monitoring for property-related expenses.
- Coordinate with the accounting department to ensure accurate and timely payment of invoices and rent collection.
- Assist in reviewing and analyzing financial statements, variances, and reports related to property operations.
Vendor Management
- Collaborate with vendors, contractors, and service providers to ensure timely and quality delivery of services.
- Solicit bids for property maintenance and improvement projects, evaluate proposals, and make recommendations.
- Monitor vendor performance and ensure adherence to contractual obligations.
Property Marketing and Promotion
- Support property marketing efforts by assisting in the preparation of marketing materials and property listings.
- Coordinate property showings and tours for potential tenants.
- Contribute to the development and implementation of marketing strategies to attract and retain tenants.
Qualifications:
- Bachelor's degree in business administration, real estate, or a related field (preferred).
- Prior experience in property management, real estate, or a similar role.
- Strong knowledge of property management principles, leasing processes, and local regulations.
- Excellent interpersonal and communication skills, with the ability to build positive relationships with tenants and team members.
- Proficient in using property management software and Microsoft Office applications.
- Detail-oriented and highly organized, capable of multitasking and prioritizing responsibilities.
- Ability to work independently as well as collaboratively in a team environment.
- Knowledge of dental office operations or healthcare facility management (a plus).
