As an Administrative Assistant supporting the recruiting department at Kids Dental Brands, you will play a pivotal role in organizing communications, facilitating initial candidate follow-up and engagement, and managing the organization of our candidate funnel. Additionally, you will be the go-to expert in our recruiting technologies, ensuring seamless operation and optimization of our systems.
Your responsibilities will include overseeing the flow of communication within the department, particularly in relation to candidate outreach and engagement. You will be responsible for initiating contact with potential candidates, ensuring timely follow-up, and fostering ongoing communication throughout the recruitment process.
Furthermore, you will manage the organization of our candidate funnel, maintaining accurate records and ensuring that candidates progress smoothly through each stage of the recruitment journey. Your expertise in our recruiting technologies will be invaluable in streamlining processes, troubleshooting issues, and maximizing the efficiency of our recruitment efforts.
Success in this role will require a strong attention to detail, excellent organizational skills, and proficiency in recruiting technologies. You will need to be proactive, resourceful, and adept at managing multiple tasks simultaneously. Your ability to effectively engage with candidates and maintain clear communication channels will be essential to the success of our recruitment endeavors.
While this position is primarily in that of support capacity for our traveling recruitment team, there may be some need for domestic travel in support of the team as well.
Summary of Essential Job Functions:

Prepare and edit correspondence, communications, presentations, and other documents for the Kids Dental Brands Recruiting department.

Prepare, coordinate and follow up with all inter-departmental communications, including coordination, organization, and payments for events through coordination with recruitment team and accounts payable department.

Manage and organize a growing candidate funnel, including general touch points with candidates through email, text, and phone.

Oversee recruitment technologies and developments, staying abreast of new tools and advancements in technology and relaying and training team members on their uses.

Create and manage shipments for external dental events, including organizing of giveaways, shipping of materials, and potential coordination of travel, dinner reservations, and communications around these events with team and coordinating members from universities across the country.

Ongoing communication and relationship building with the 74 and growing dental universities across the country.

Potential for travel to and from dental universities in support of the ongoing recruitment strategy of the team and goals of the company.

Qualifications:
Education: High school degree or equivalent
Experience: 2 years of experience in an administrative role, recruiting experience a plus
Certifications: NA
Computer Skills: Computer literate, knowledge of the Microsoft environment (Teams, Sharepoint, Excel, Power Automate, etc.) a plus.
Language Ability: Excellent verbal and written communication skills including the ability to remain calm during stressful customer or employee situations.
Travel: Up to 10-15% based on needs of the department and team.
