  • Job Summary

The Administrative Assistant has overall responsibility for maintaining a consistent staff schedule, assisting with the interviewing and hiring process, new hire paperwork, and staff file compliance. The Assistant Director is responsible for the operation of the Learning Academy when the Director is not present. Ensures that the school is operated in accordance with Learning Academy policies and state licensing standards. Follows operating procedures to provide an educational, caring, and safe environment for children and their families. Maintains the highest standards by being visible and involved in the daily operations.
Qualifications
The Assistant Director’s qualifications must meet state licensing requirements.
Job Responsibilities Fiscal Responsibilities

  • Provides support to classrooms to ensure ratios.
  • Maintains good working relationships with the licensing board representative.
  • Ensures accuracy and timely collection of tuition in accordance with Learning Academy’s policies and procedures.
  • Ensures purchases necessary to the Learning Academy’s operations are within the budget.

Enrollment

  • Keeps parents apprised of school activities.
  • Tracks all inquiries, converts inquiries into parent tours, and converts tours into enrollments. Accurately reports withdrawals and new starts weekly to Director.
  • Ensures that parents complete forms required by the Learning Academy and appropriate state regulatory agencies.
  • Implements a marketing plan that includes community events.

Center Staff

  • Maintains proper child-staff ratios.
  • Encourages high quality teacher-child interactions.
  • Maintains personnel records and ensures confidentiality.
  • Coaches and counsels’ staff when necessary.
  • Maintains up-to-date records for each child in care.

Health & Safety Requirements

  • Manages the center in compliance with state and local regulations and with company policies and procedures.
  • Understands and implements emergency procedures in case of emergency situations. When necessary, can administer CPR/First Aid, including lifting and carrying injured children.
  • Plans and executes the required monthly fire and other emergency preparedness drills in accordance with state and KRK requirements.
  • Trains staff in all center safety policies and procedures. Ensures that all staff members understand their roles in protecting the health and safety of the enrolled children.
  • Ensures that the required fire extinguisher inspections are done on a timely basis and documented on the appropriate log.
  • Maintains up-to-date health records.
  • Implements all standards necessary to ensure a clean, safe, and healthy environment, including universal precautions.
  • Informs parents if their child has been exposed to a communicable disease.
  • Ensures that all staff members are certified in CPR and First Aid.
  • Establishes and maintains an emergency plan and emergency telephone numbers.
  • Maintains building, equipment, and grounds to ensure a safe environment that meets company and licensing safety standards.

Relationships with Families

  • Maintains effective communications with families.
  • Maintains professional conduct when working with parents, staff, and visitors.
  • Maintains strict confidentiality regarding children and families.
  • Recognizes parent concerns, evaluates course of action and responds appropriately to the needs of families. Communicates family concerns to the Director.
  • Conducts parent meetings and other conferences as appropriate.
  • Regularly solicits feedback from parents in order to improve the Learning Academy.

General

  • Effectively resolves problems related to the management of the center. Seeks assistance from the Director and/or Owner when appropriate.
  • Must be able to react quickly with sound judgment and problem-solving skills in complex and critical situations, such as injuries and accidents.
  • Must use excellent verbal and written communication skills with parents, children, and staff.
  • Must be capable of lifting, carrying, and holding children in accordance with local state requirements.
  • Plans work schedules and supervises staff.
  • Evaluates staff performance.
  • Keeps fully apprised of all activities in the school.
  • Prepares and forwards reports and forms required by the Learning Academy.
  • Represents the interests of Kids ‘R’ Kids Learning Academies throughout the community.
