What are the responsibilities and job description for the Front Desk Administrator position at Kids Smiles?

Purpose and Scope

The Front Desk Administrator is responsible for greeting patients, handling incoming calls and performing general administrative duties that pertain to any of the following areas: checking in patients, checking out patients, and general administrative work, including answering phones and recall. This person must have a full understanding of medical insurances accepted at Kids Smiles. The Front Desk Administrator is also responsible for assisting other administrative/office staff with work overflow and must be able to work within a team environment.

Job Responsibilities
On a given day, the individual may take on any of the following roles as a Front Desk Administrator:

Administrative Duties:

  • Confirm/re-confirm patients; pulling and filing of charts; answering phones; checking messages, filing loose paperwork, processing incoming paperwork.

Checking-In Patient Duties:

  • Check patient insurance; update clipboard; re-stock paperwork; answer phones; add insurance numbers.

Checking-Out Patient Duties:

  • Process claims; submit claims; collect co-pays; fix problem claims; answer phones.

Reception (Phone/Recall) Duties:

  • Answer phones; complete re-call; complete pending appointment page; other administrative duties as needed.

Required Experiences and Skills

  • High School Diploma or GED Certificate required.
  • Prior dental office experience and Dentrix experience, preferred.
  • Must be able to work in a fast paced, team oriented environment.
  • Good organizational ability and time management skills.
  • Good communication and interpersonal skills.
  • Ability to work well with diverse populations, patients and healthcare providers.
  • Must understand and respect client confidentiality.
