Primary purpose:
The Operations Administrator will be responsible for providing administrative support in the Texas Coast Area, and will interact with various departments.
Essential duties and responsibilities:
Assist in the preparation and monitoring of Operation and Maintenance financials and Capital Budget.
Prepares and submits numerous reports to primary regulatory agencies or to legal representatives in a timely manner.
Preparation of local vendor contracts and work directives
Assist with accounting, budgeting, administrative and clerical duties
Assembles, codes, processes invoices for payment and tracks invoices for expense and capital expenditures.
Inventory administration including issuing, transferring and inspecting items.
Purchasing & Procurement, receiving, tracking and returning material.
Assist with preparation and creation of reports, presentations and scorecards using Microsoft Word, Excel and PowerPoint.
Assist with updating and migrating procedures into proper format
Document scanning, copying and mailing.
Respectfully interfaces with public, customers and clients.
Maintains well organized files.
.Maintain and communicate training schedules and record keeping.
Completes assignments of limited scope and complexity.
Business machine supplies and maintenance coordination.
Identify and report safety and environmental concerns.
Data entry for training records into the OQ ISNetworld program and tracking of company fleet vehicles
Actively participate in safety programs and initiatives
Assist staff with preparation of expense accounts
Attend team meetings as required
Regular and predictable attendance
Maintain filing system for general office and compliance forms
Answering phones
Other duties as assigned
Job level will be commensurate with experience
Position Requirements
Required Experience / Skills / Knowledge:
3 to 5 years of experience in office administration or similar background experience
Knowledge of oil and gas industry terminology
Familiarity with budget development and cost tracking experience
Ability to effectively communicate (oral and written) with internal departments, vendors and customers.
Must be able to speak, read, and write in English.
Demonstrate a strong customer focus.
Intermediate to advanced proficiency level in MS Office (Outlook, Word, Excel and PowerPoint).
Must possess working knowledge of standard office equipment.
Good verbal and written communication skills, including ability to interact with individuals at all levels in the organization.
Basic math skills (addition, subtraction, multiplication, division, decimals, fractions).
Ability to work in a team atmosphere, take direction from supervisor(s), focus attention on details, follow work rules and adhere to work schedules.
Must be self-motivated and capable of working with minimal direct supervision.
Must be capable of completing and tracking multiple tasks simultaneously, managing priorities and keeping team members informed.
Proven organizational and time management skills required.
Ability to problem solve and troubleshoot.
Job level commensurate with experience and skill sets.
Educational Requirements:
High School Diploma or equivalent.
Associates/Bachelor’s Degree or equivalent is preferred
Working Conditions/Physical Demand:
Must maintain regular, dependable attendance and a high level of job performance
Must maintain a high regard for personal safety, the safety of company assets and employees and the general public
May be required to work non-traditional hours as needed as well as overtime hours
Must be able to lift and carry up to 25 pounds on an occasional basis
Must be able to sit for prolonged periods of time
Preferred Experience, Skills and Knowledge (above the minimum requirements; not required, but advantageous in this position):
Bachelor’s Degree in Business Related field
Must hold a satisfactory driving record as determined by Kinder Morgan and a valid driver's license
