Job Description
The Opportunity
KTX IT Information Systems Management Team is responsible for supporting and maintaining various technical data and application solutions. Primarily, the team supports school-facing education technology solutions, business solutions, and enrollment systems. The Business Systems Specialist is a new role that will
support system projects with day-to-day data and configuration requirements, serving as back-end support for a growing subset of business tools for various central office teams, starting with talent management systems. Ensures that the tools central office teams need and projects they request are appropriately executed.
Key Responsibilities
The Business System Specialist's duties are system administrative in nature but also involve professional data management, analytical, and information technology work. This position has privileges over complex programs that are central to the organization's mission. They are expected to:
● Develop working knowledge of business applications and business processes in order to provide support to internal business process owners with a strong focus on high-quality customer service and satisfaction
● Maintain and improve our business systems while verifying compliance to requirements and other related standards.
● Assist in problem-solving in assigned applications and continuously meet or exceed quality, launch, and performance targets
● Assist and coordinate systems documentation control and traceability, as well as coordinate quality-related projects
● Interface with third parties, vendors, and customers as required to ensure application-related issues
and problems are resolved in a timely and professional manner
● Serve as an auditor for applicable business system process verifications
● Participate in the creation of communication guidance resources for system implementation across all customers (leads, applicants, registrants, and current staff)
● Assist the Knowledge Management department in basic document and system processes, if required.
Job Description
● Troubleshoots and documents both technical and application problems and communicates problems to the Senior Manager of Enrollment Systems & Data and stakeholders business process owners
● Assign appropriate access to Cornerstone, SmartRecruiters & Vidcruiter for new & existing users
● Configure and manage user groups in applicable systems to the specification of business process owners
● Monitor automations and resolve errors as they arise
● Engages in data analysis and synthesis to inform work, team, and organization. Anticipate and identify problems in a timely manner. Can tell the story of recruitment and onboarding with the numbers. Hold teams accountable.
● Provide timely communication to users on the status of their service requests and incidents
● Provide progress reporting for all assigned projects, including estimates, risk analysis, and time spent
The KTX IT Information Systems & Team currently works across multiple platforms & will be adding more platforms this year. Currently, these systems are separate tools that require management, upkeep, user documents, and integration where possible. Here are our current talent systems and how they are used:
1. SmartRecruiter: Job posting, job application submission, applicant management & tracking
2. Vidcuiter: Asynchronous interview platform allowing for video interviews. Standard question templates have been configured, and specialized templates can be built on request
3.Cornerstone On Demand: Performance management, the annual performance review cycle, self-review on core organizational leadership competencies, manager on core organizational leadership competencies, bonus capture, learning management system
To be successful in this role, a Business Systems Specialist will bring a track record of detailed project management, systems management, and project plans that stand the test of time; have experience building and maintaining relationships with key stakeholders; and be comfortable working in an environment that requires
them to juggle multiple priorities and competing deadlines, while never losing sight of the overarching goals and desired outcomes.

Skills and Qualifications:

● Capable of working independently, self-motivated, and exceptional follow-through
● Excellent interpersonal skills and an energetic attitude; ability to work with all levels of the organization effectively and quickly build rapport
● Excellent written and verbal communication skills
● Proven experience building operational efficiency while proactively finding solutions
● Skilled in IT problem diagnosis and resolution
● Proven data management skills
● Bachelor’s degree from an accredited institution and / or 2 years of applicable work experience, preferably in a business, IT support, or school operations environment
● Thorough knowledge of human resource processes and systems recommended
● Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook) and Google applications (Sheets, Docs, Google Drive), with the ability to quickly learn new technologies (Slack, video conferencing apps, Asana, etc.)
● Must have reliable transportation to travel between campuses
● English fluency is required; Spanish is a plus
