Position: Office Coordinator
Location: Newark, CA

We’re in need of a full-time Office Coordinator to contribute to the success of the business through a variety of administrative activities and close collaboration across departments. You’ll be a reliable support to company operations, with a natural ability to pivot regularly, as things change quickly and reprioritization is necessary. You will nurture a pleasant and fun work environment as you help our team get things done! The ideal candidate has excellent organizational skills, and is able to manage multiple projects in a fast-paced environment with minimal supervision.
Job Responsibilities:
- Oversee the day-to-day activities of the office as the main point of contact in the reception area, keeping management informed of needs on a regular basis. Respond to requests and questions.
- Maintain office efficiency by maintaining appearance of common areas, organizing procedures, handling correspondence, managing filing systems, and overseeing and maintaining supplies and equipment.
- Coordinate internal and external resources, and cultivate relationships with vendors. Coordinate meal delivery for the office team, and team meetings as needed.
- Execute general administrative activities, including meeting and travel coordination, verbal and written correspondence through large-volume phone calls and emails; mail sorting and distribution to the team; package shipments and office inventory management.
- Act as a liaison with other departments and locations, including coordinating Knighted swag distribution for all locations. Assist with administrative overflow and special projects from other departments as needed.
- Interface with all levels of the organization, including the leadership team. Handle confidential and non-routine information.
- Co-manage new hire onboarding through assistance with paperwork processing. Coordinate and participate in new hire orientation sessions, as needed.
- Support the recruiting team with ongoing recruiting efforts across multiple locations: review resumes, conduct phone screens, schedule interviews, and track candidates throughout each step of the recruitment process using the Applicant Tracking System (ATS).
Skills and Qualifications
- 2 years of office management experience. Basic Human Resources and/or recruiting exposure is a plus.
- Strong time-management and people skills, flexibility, prioritization and multitasking ability.
- Proficient computer skills and experience with online platforms, with aptitude to learn new software and systems.
- Solid working knowledge and skill with spreadsheets. Google Suite proficiency preferred.
- Independent judgment accompanied by an ability to execute job duties with basic instruction.
- Confidence, professionalism and confidentiality as a company ambassador are imperative to success in this role.
- Ability to travel to other corporate offices and client locations. Reliable transportation required.
- Strong written and verbal communications.
- Positive outlook and mindset. Open to learning and taking on new challenges.
- Ability to handle confidential information.
Compensation and Benefits:
- $22.00 - $25.00 per hour (Compensation is commensurate with experience.)
