- Purpose of Position
Provides clerical support and other human resources related duties. Performs recurring assignments without specific instruction and resolves day to day problems under available guidance.
- Essential Duties and Responsibilities
- Coordinates with homecare supervisors/program manager to recruit caregivers (CGs);
- Processes WATCH, BCCU background checks and Character, Competence, Suitability (CCS);
- Conducts reference checks;
- Sets up and conducts orientation training for new employee(s) and ensures all required documentation is completed;
- Inputs and maintains CG personal information in WellSky and informs Payroll of new hires and changes;
- Maintains CG files and prepares them for audit;
- Schedules and documents required CG trainings with the Training Partnership;
- Completes CG application for the Prometric testing & Home Care Aide (HCA) certification with the CG;
- Maintains all licenses, training, and certifications in both personnel file and ClearCare;
- Assists IHC Supervisor to maintain an updated list of available/substitute CGs;
- Answers all incoming calls, maintains a record of essential calls & inquiries;
- Responsible for phone service and messages involving the answering service;
- Meets and greets customers, public and KWA staff at the office and escorts them to the appropriate person or persons;
- Assists in locating and compiling data for reports;
- Operates and maintains commonly used office machines and equipment;
- Maintains, cleans and stocks office and kitchen as needed;
- Maintains adequate personal protective equipment (PPE) supplies;
- Manages office purchase card per KWA Purchase Card Policy;
- Represents KWA internally and externally on committees and work groups as directed;
- Processes and supervises work for any "volunteers" and other service related individuals;
- Attends all required trainings;
- Understands WAC's, Statement of Work and contract regarding CG and KWA requirements for their particular office, including CBA;
- Provides necessary information to HR for processing unemployment & L&I claims;
- Assists with CT file maintenance and CT file audit preparation;
- Performs other duties as assigned
- Position Requirements, Competencies and Qualifications
- Satisfactorily pass criminal history & reference checks;
- Excellent organizational, interpersonal and communication skills;
- Excellent time management skills;
- Competency in data entry and to operate general office equipment such as multi-line phones, computers, copy and fax machines, etc.;
- Knowledge of records management procedures
- Knowledge of human resources duties
- Proficient in MS Office Suite, e.g. Outlook, Excel, WORD, etc.
- Education
- High School Diploma, GED or foreign equivalent required.
- Some college preferred.
- Experience
- One year of experience in office administration and human resources preferred.
- Education may be substituted for experience
