Summary
The Accounting/Payroll Clerk works to provide financial information to management by researching, analyzing and verifying accounting data; and preparing reports, journal entries and account reconciliations. Other duties include property management, weekly Payroll, taxes, tax preparation, Retail point of sale and using QuickBooks.
Duties and Responsibilities

Pay: $68,000 to $80,000
Accounting Responsibilities:
- Experience with prevailing wage.
- Working with different state taxes.
- Has Experience with Payroll.
- Full Vendor setup and maintenance from W9/insurance requests, entry and 1099 processing.
- Maintain and distribute preferred Vendor list to team
- Process all incoming invoices: review, flag unusual or questionable items, code, get approval and enter
- Manage unpaid bills, recommend for payment weekly (vendors & subcontractors) and process check run
- Auto payments: monitor, enter into accounting/job cost systems & post payments
- Credit card reconciliation
- Download transactions to QuickBooks
- Reconcile to QuickBase for accuracy to job cost and cross post into QuickBooks
- Research and resolve any posting errors, disputes or discrepancies
- Manage company accounts
- Amex: Issue/cancel cards, set parameters and update necessary logs
- Enterprise Fleet: download billings, categorize for GL code and enter bill
- Monitor and reconcile accounts monthly:
- Travel credits / refunds – distribute open credit notice to all PM’s
- Employee reimbursement/charge backs – reconcile with payroll
- Sales tax – track exempt purchases, reconcile quarterly
- Owners’ personal expense – log and report monthly
- Correspond with vendors and respond to inquires
- Assist with month end closing
- Provide supporting documentation for audits
- Maintain confidentiality of organizational information
- Other duties as assigned.

Education and Experience
- High School Diploma, or equivalent
- Thorough knowledge of accounts payable and Its impact on job cost as well as the general ledger
- General knowledge of the full accounting cycle, income statement/balance sheet, GL accounts and job cost posting.
- Ability to troubleshoot and problem solve when transactions are out of balance or missing.
- Comfortable working directly with Project Managers and field staff to resolve expense discrepancies.
- Ability to work with little supervision and take the initiative to create a process to complete assigned tasks on time.
- Working knowledge of Microsoft Office Suite, with an emphasis in Excel and Outlook.
- Working knowledge of QuickBooks
Language Skills
Ability to read, analyze, and interpret complex documents. Ability to respond effectively to sensitive inquiries or complaints. Must be able to speak, understand, read and write English.
Mathematical Skills
Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
Reasoning Ability
Ability to problem solve and think critically. Make sound decisions, and escalate matters quickly and efficiently.
Computer Skills
Possess intermediate to advanced computer skills, including basic knowledge of MS Office Site. Must be able to quickly learn new computer programs, use the internet, and operate mobile devices.

Physical Demands
This position requires the worker to sit at and navigate a computer workstation the majority of the workday. Some light lifting, bending, and reaching is required.
Visual Acuity
The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; and extensive reading.
Working Conditions
The primary working environment is an indoor office setting. From time-to-time it may be necessary to travel. Employees working in hazardous conditions and areas are required to comply with all applicable safety provisions and to use PPE.
