Job Summary:

We are looking for an experienced, personable, customer-focused receptionist to join our team. The Receptionist’s primary goal is to build relationships with our former, current, and potential new clients on the telephone and in person when they visit our office. The Receptionist may also assist the rest of the team by collecting documents, calling clients for status updates, and arranging appointments on the master calendars. The successful candidate will be an organized professional who brings a positive, problem-solving energy to the office.

Essential Duties and Responsibilities:

Client/Visitor Focused Tasks

1. Answers Incoming Calls

a. Direct incoming calls as appropriate

b. Screen calls when appropriate

c. Assist with scheduling consultations if needed

2. Greeting Clients, guests, attorneys, and employees

a. Create a positive and professional first impression on behalf of the firm

b. Make visitors comfortable, offering beverages

c. Follow the correct sign-in procedures for visitors to keep our building secure

3. Customer Service for prospects, clients, and other people: contacts on behalf of the firm, relays messages, handles rescheduling as needed

Administrative Tasks

1. Mail

a. Receive mail, deliveries, and packages

b. Scan and direct all mail and deliveries to the proper person

c. Stamp the date received on all incoming mail

d. Maintain logs of incoming and outgoing deliveries

e. Dispose of junk mail

2. Filing

a. File documents in appropriate client files & sub-files

b. Organize documents in files and sub-files and maintain them in an orderly fashion

3. Provide administrative support to other team members with data entry, paperwork, photocopying, etc. when needed

4. Contact insurance providers for potential clients and new clients to verify coverage and benefits

5. Assist Operations Manager with organize company trips and handle employee travel itineraries

6. Maintain conference rooms

a. Make sure pens, notepads, mints are re-stocked

b. Ensure conference rooms are well-ordered and ready for client appointments

7. Perform other general office duties as requested

Experience:

  • The Receptionist must have prior office experience, and experience with business phone systems and office computer systems and software.
  • Proficient with MS Office
  • Strong organizational skills, problem-solving skills, and communication skills, both written and verbal
  • Able to prioritize tasks, and work under pressure
  • Self-starter who works well in a team environment

Job Type: Full-time

Pay: $21.63 - $23.08 per hour

Expected hours: 40 per week
