General Purpose


To provide assistance to the building principal, the students, the parents, the teachers, and support personnel in the school’s office to assure a smooth, friendly and efficient operation of the school office so that the office’s maximum positive impact on the education of children can be realized.

 

 Terms:  7.5  hours per day, Monday through Friday for 52 Weeks 

 

 Main Job Tasks and Responsibilities:

  • Perform the usual and necessary office routines and practices assigned by the principal.
  • Maintain a record of teacher, principal, and support personnel’s absences and the resulting substitutes, and schedules any class coverage as needed.
  • Receives and routes incoming calls as required or relays messages as the case may require.
  • Receives, sorts and delivers incoming mail.
  • In the absence of the school nurse, the secretary will administer emergency first aid.  See that the parents are contacted in the event of a serious student accident or illness.
  • Performs such other reasonable tasks and assumes such other responsibilities as the building principal may from time to time assign or delegate.
  • Be responsive to specialized instructions from the associate superintendent, business management, and the administrative assistant to the superintendent.
  • Greet visitors, salespersons, parents, and guests and after determining their business, make an appropriate disposition of the matter.
  • Maintain the finance books, fees statements, and student textbook accounts including extra-curricular accounts for the school.
  • Collect and receipt any and all monies in applicable accounts.
  • Use all prescribed forms and methods of accounting as per the State Board of Accounts.
  • Assist in the collection of late rental fees.
  • Prepare fee statements for mailing each semester.
  • Handles bank deposits, receipts and check writing for all applicable accounts Coordinate delinquent fees with the finance office including collection agency notice.
  • Prepare delinquent notices fee for mailing and distribution.
  • Notify parents/students of lost textbooks
  • Prepare monthly financial reports on book rental and technology and any other applicable accounts.
  • Prepare all necessary year-end financial reports.
  • Prepare all necessary and required delinquent rental reports.
  • Handle all circumstances that apply to book rental and technology fees including proration for withdrawn or late enrolled students.
  • Prepare claim vouchers for all invoices prior to sending out checks (both rental and extra-curricular).
  • Deal daily with students, parents, and teachers on rentals and extra­curricular accounts.
  • Prepare departmental and organizational balances to chair people and sponsors at the end of each month (after balancing the checking accounts).

 Qualifications:

  • High school graduate or GED
  • Good interpersonal skills
  • Proficient in typing
  • Excellent organizational skills
  • Working knowledge of basic office procedures and the operation of common office equipment and machines.
  • Ability to keep accurate financial accounts.
  • Loyal to school and immediate employer with the ability to retain confidential information.
  • Previous experience as a secretary is preferred.
  • Previous experience with computers and accounting software is preferred.

Payment type:   $15.00 per hour

 

Benefits:  per MCESP Agreement
