Payroll Manager

Overview

The Payroll Manager at KSB GIW Inc. is responsible for overseeing and managing all aspects of payroll processing and employee benefits administration. You will ensure accurate and timely payroll processing, comply with federal and state regulations, and effectively administer company benefits. You will also work closely with the Finance Department on required audits, budgeting, and labor distributions. Strong attention to detail, excellent organizational skills, and a background in payroll and benefits will ensure success in this role.

Responsibilities

  • Oversees and manages the full payroll process for all four KSB GIW Inc. locations across the North American region, ensuring timely and accurate payroll delivery
  • Strong understanding of U.S. and Canadian payroll regulations to include the state, federal, and provincial guidelines that apply to all KSB GIW Inc. locations
  • Manages the payroll and timekeeping databases, as a system administrator, to maintain the functionality of the systems and makes improvements when necessary
  • Takes an active role in collaborating with the IT Department to resolve payroll or timekeeping database discrepancies and oversees the integrity of the data bridges between the systems
  • Collaborates with the Human Resource team to ensure accuracy in time and attendance records and associated payroll records
  • Completes external and internal audits when necessary to provide historical compliance records for company payroll and benefit programs.
  • Maintains payroll and earnings records, coordinates quarterly and annual payroll reports, and is responsible for annual W2 related filings
  • Prepares and submits all required annual governmental reports (ex. EEO-1 reports, ACA reports, SUI reports, Form 5500, wage and tax reports, etc.)
  • Administers the 401k plan, which includes monitoring and approving profit sharing distributions, hardship loans and withdrawals, rollover process, and compliance within the plan. Balances and transmits funds for 401k and profit-sharing plans on a monthly basis.
  • Manages all aspects of the KSB GIW Inc. pension plan for current employees and retirees, overseeing eligibility, invoicing, benefits education, etc.
  • Processes, maintains, and submits all wage garnishments, bankruptcies, levies, and child support withhold orders per the legal requirements
  • Collaborates with the Finance Department to ensure accuracy of the General Ledger and proper entries on payroll accounts and tax deposits
  • Collaborates with the Finance Department to provide salary information and reporting necessary for budget preparation and finalization
  • Collaborates with the Human Resource team to administer merit increase, cost of living increases, and/or discretionary bonuses
  • Administers and manages the voluntary and company-sponsored group health, dental, vision, short term disability, long term disability, life insurance, accidental death and dismemberment, group life/accident/cancer/chronic illness/hospital indemnity, HSA/FSA, and various other benefits for employees
  • Works closely with the benefits broker to coordinate all coverage, documentation, and open enrollment items relating to benefits plans
  • Performs duties that include updating and approving changes in coverage for health plans, creating and distributing coverage summary reports/year-end reports/census validation reports, acting as a liaison between the company and the benefits provider for elevated issues, and educating employees on coverages
  • Manages open enrollment process and coordinates all system configurations necessary for a successful enrollment cycle
  • Maintains vendor accounts and issues monthly invoices and/or checks and monitors reconciliation for various benefits account to ensure accurate billing
  • Ensures that the company maintains compliance with all regulatory requirements by exercising decision-making and independent judgement if discrepancies are found
  • Serves as the subject matter expert on payroll and benefit related information, provides in-depth data and/or reports when necessary to assist relevant parties in making payroll and benefits related decisions
  • Other duties as assigned

Qualifications

  • Bachelor’s Degree in Human Resources, Business Administration. Accounting, or related field
  • Minimum of 8-10 year's experience in payroll and benefits management
  • In-depth knowledge of payroll practices, regulations, and procedures
  • HRIS experience required (ADP, UKG, or other relevant HRIS systems)
  • High attention to detail and accuracy
  • Strong organizational and problem-solving skills
  • Ability to multitask multiple tasks/projects
  • Strong communication and interpersonal skills
  • Ability to handle sensitive information with confidentiality and professionalism
  • CPP certification a plus

Physical Requirements

  • Primarily desk-type duty
