JOB SUMMARY:
Financial Controller is a senior management role that overseas all functions of an organization’s finance and accounting department. Serves as the principal person responsible for supervisory and control of the general ledger of the Unions’ operations. Assumes responsibilities for general ledger, accounts payable, accounts receivable, capital asset records, and annual audit. Assist CFO in determining and establishing accounting controls, procedures, and policies for the KU Memorial Union and may provide operational and accounting advice to operating departments. Handles all required licenses and files federal, state, and local government reports. Coordinates compilation of information and schedules for annual audit of operations. Provides financial information to Union Management and the general users of Unions’ services. This position is also responsible for biweekly payroll preparation and submission to the processing company.
SUPERVISION RECEIVED & GIVEN:
Receives supervision from the Sr. Associate Director/Chief Financial Officer. Position has responsibility for management of a staff of up to four full time and part-time employees.
ESSENTIAL FUNCTIONS:
1 Financial Responsibility: Prepares and posts all month end journal entries in preparation for Month End and Year End reporting. Works with accounts payable to calculate and post monthly accruals for payables. Reconciles all balance sheet accounts including the operating bank account, accounts payable and accounts receivable as well as all prepaid expense and unearned income accounts.
2. Managing People: Coordinates and is responsible for business office functions including general ledger, cash disbursements, purchases, inventory control, and capital asset records. Supervises and trains all accounts payable and accounts receivable employees. Plans, organizes and directs the general accounting of the Union Corporation.
3.Organization Support: Provides financial analysis to include actual revenues and expenses against budget and prior year(s) figures, lease vs. buy decisions, and decision support. Suggests methods of improving the business via monthly individual and/or group meetings with department leadership. Provides competent and responsive financial and business counsel to the Director and CFO via a monthly one-page recap for current operations and for future projects. Provides a strategic look ahead quarterly in leadership meetings.
4. Problem-Solving: Prepares all schedules requested for external audit and tax return preparation as required. Monitors established internal controls to insure proper compliance. Responds to and coordinates with external auditors during the annual audit as well as external tax accountants during tax preparation.
5.Planning & Organization: Responsible for the preparation of the biweekly payroll for all Union employees including but not limited to communication with supervisors on payroll Mondays regarding timecards errors and approvals. Also responsible for ensuring properly recorded absences, compliance with leave policies, and supervisory approval. Runs and distributes weekly reports for supervisors informing them of overtime usage, missed punches and improper paid time off usage. Finally responsible for submission of payroll as well as closing each payroll period via ADP Etime and Workforce Now.
6.Buisness Ethics: Interprets, implements, and maintains all corporate financial processes including provision for effective controls and audit capabilities that comply with generally accepted accounting principles, applicable governmental laws, and standard operating policies. Responsible for tracking management and policy documents and legal agreements. Directs efforts related to risk management, insurance, liability safeguards and general legal compliance.
ADDITIONAL RESPONSIBILITIES:
1. Prepares Monthly results summary for Union Corporation Director team. Responds to questions and provides detail as requested.
2. Assists operating departments with their business and accounting needs. Recommends changes in financial policies and procedures as necessary.
4. Provides leadership to the annual budget process.
5. Acts for the Chief Financial Officer in his/her absence.
6. Performs other duties as assigned.
REQUIRED KNOWLEDGE ABILITIES & SKILLS:
1. Knowledge of the principles and practices of modern corporation accounting, business and financial management
2. Knowledge of the operation of computer systems and related accounting applications.
3. Knowledge of appropriate management and supervisory skills to supervise staff.
4. Ability to field a wide range of questions and problems and to respond with clear and concise comments and instructions.
5. Ability to communicate orally and in writing.
6. Ability to supervise, train, and evaluate employees in performance of their jobs.
7. Ability to organize and execute policies.
8. Ability to prepare readable and effective financial reports on a timely basis.
MINIMUM QUALIFICATIONS:
1. Bachelor’s degree in business, with emphasis on accounting, or a closely related field.
2. Minimum 5-7 years’ experience in accounting.
3. Minimum 5 years effective supervisory experience.
4. Demonstrated ability to effectively communicate with staff and constituents.
PREFERRED QUALIFICATIONS:
1.CPA Certificate and/or advanced business, accounting or financial degrees.
2.Previous experience in a college union/university setting.
3.Some contact with or knowledge of Not For Profit Organizations.
4.Understanding of union and university environment.
Full-time employment with the Union Corporation is contingent upon satisfactory completion of a background check prior to being able to begin work. This position is eligible for an employee referral bonus.
