Operations Clerk
Overview
Under management direction, using discretion, and independent judgment, this individual will be responsible for handling administrative duties supporting the Warehouse and Transportation Supervisors and Managers. Support includes the areas of staffing, monitoring productivity standards, ensuring the department is working effectively, and following safety protocols.
Essential Duties and Responsibilities:
- Maintain daily and continuous contact with drivers to ensure all personnel is logged in and on the road at scheduled times.
- Supports internal and external new hire training as well as temp labor with the onboarding process, providing employee ID numbers and submitting paperwork to Human Resources.
- Review and reconcile the Manifest up against access to ensure the accuracy of records.
- Administer time-card corrections and support time and attendance.
- Support dispatcher with hours of service and DVIR. Ensure violations are detected, communicated, and corrected. Review and respond to receipt issues on time.
- Provide ongoing oversight of roadnet maintenance, verifying time windows, vehicle maintenance, employee maintenance, and route maintenance.
- Oversight of CTLs verifying accuracy and correcting errors. Deliver manifest to drivers via fax, email, or manually.
- Ensure proper driver documentation is sent and received by the corporate office weekly.
- Supports DOT compliance including but not limited to random drug/alcohol programs, medical cards, and CDL expiration.
- Supports the administration process of driver & helper supplies. Ensures that available resources in transportation, such as tools, supplies, and Personal Protective Equipment (PPE), is available to employees upon employees report to work.
- Supports the management team in the care, replacement, and damage of uniforms supporting the Companys uniform policy.
- Assist the leadership Team to help track Tablet inventory and assist in responding to driver equipment requests partnering with IT to ensure tools are effectively running.
- Performs other duties as assigned.
Qualifications & Competencies
Education/Work Experience:
- High School Diploma or GED required
- Associates or college degree preferred
- Requires excellent verbal and written communication skills, and an even-toned disposition
- Organizational skills Excellent attention-to-detail
- Ability to research documents and use Company information systems applications
- Ability to work well with internal and external contacts resolving issues immediately and thoroughly or escalating them as needed.
- Ability to work well under pressure, with many interruptions and multiple demands.
- Ability to read and interpret general business writing and to write routine reports, business correspondence, and email correspondence.
- Bilingual English/Spanish required.
- PC Literate with basic knowledge of Microsoft Office products; usual office equipment including calculator, telephone, fax, computer, and copier.
- Ability to work independently and collaborate with others.
- Must adhere to all safety policies and practice safe work habits.
- Must be able to work overtime and flexible schedule as needed (including Saturdays)
Certificates/Licenses:
- Valid Driver's License, Class C license preferred. Willingness to drive own vehicle occasionally on company business.
- Willing to travel both locally on company business - 25% or more.
