What are the responsibilities and job description for the Accounting Clerk II- AP position at Lamar State College Orange?
The Accounting Clerk II reports to the Director of Accounting. The Accounting Clerk II is responsible for entering invoices into the Banner system. Duties and responsibilities shall include, but are not limited to the following:
1. Obtains approvals for payments and enters invoices into Banner for all Accounts Payable invoices.
2. Scans and indexes all invoices into Xtender.
3. Notifies accountants that invoices are ready for approval.
4. Run all check cycles for local bank accounts, wires, and state bank codes in the Banner system. Notifies Accountant II- Project Accountant that the checks are ready to print. Scans and indexes all checks and ACH’s into Xtender. Mails all checks and emails vendors ACH notices.
5. Assist Purchasing with Xtender reviews and other items as needed.
6. Assist with inventory and tagging of inventory items as needed.
7. Review information in Banner for items flagged as 1099 invoices making revisions as appropriate to prepare the 1099 forms. Prepare and mail the 1099 forms.
8. Review Incomplete Document Report and all other daily Control Reports and notify appropriate personnel that their document should be completed or deleted.
9. Prepare documentation to void checks in Banner and prepare documents to void warrants in state system if needed.
10. Other duties as assigned by Director of Accounting, Controller, and/or Vice President for Finance and Operations.
Qualifications:
Two year associate degree in accounting or other business related field preferred.Two years of accounting experience; PC or mainframe experience required.
Ability to operate microcomputers or computer systems in addition to standard office equipment. Working knowledge of standard office procedures, bookkeeping theory and practice. Some knowledge of elements of accounting. Skill in arithmetic computation. Able to perform numerical detail work with speed and accuracy, to understand and put into operation oral and written instructions.
Requires constant sitting, walking and seeing. Requires frequent standing, lifting, pushing, pulling, and carrying objects up to 25 pounds, operating calculator, personal computer, and various office equipment. Requires infrequent stooping, bending, sorting and filing.
This position is security-sensitive and thereby subject to the provisions of the Texas Education Code §51.215.
