JOB OVERVIEW
As a Secretary, you will be responsible for providing administrative support and ensuring efficient office operations. The ideal candidate will have excellent communication skills, strong attention to detail, and the ability to multitask effectively.
ESSENTIAL FUNCTIONS
- Completes requests by greeting customers, in person or on the telephone, and answering or referring inquiries.
- Maintains customer confidence and protects operations by keeping information confidential.
- Performing general office routines such as photocopying, scanning, faxing documents, assisting with proofreading and editing documents, employee time card maintenance, etc.
- Produces reports by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
- Establish and maintain manual and automated record filing and data entry systems for the company.
- Research reports and requests for information; extract information and supporting data to assist administrator.
- Assisting in resolving overdue bills and collecting payments from clients.
- Manages department schedule by maintaining calendars for department personnel and arranging meetings, conferences, teleconferences, and travel.
- Maintains office/field supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; and verifying receipt of supplies.
- Keeps equipment operational by following manufacturer instructions and established procedures and/or ensuring maintenance is completed by designated maintenance company.
OTHER RESPONSIBILITIES
- Participate in professional development activities as required by the company.
- Follow established safety procedures to perform job duties.
- Maintain professional code of ethics and perform other duties as assigned.
QUALIFICATIONS
- High school diploma or general Education Diploma (GED); three (3) years of general clerical/secretarial experience OR (18) semester hours from an accredited university may be substituted for each year of experience.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Proficiency with Google Suite (Docs, Sheets, Slides)
- Proficient skills in keyboarding, word processing, file maintenance, developing spreadsheets and databases.
- Must be able to communicate, listen, read, write, and comprehend the English language sufficiently to use it easily and readily in daily communication. Communication in Spanish is an additional asset.
Job Type: Full-time
Pay: $14.00 - $18.00 per hour
