Qualifications
A minimum of two years of advanced education at an accredited university or technical school.
A minimum of seven years’ experience with at least three years of experience working at the executive administrative assistant level.
Excellent Microsoft Office and general computer skills.
Excellent communication skills.
Excellent attention to detail.
Excellent multi-tasker
Responsibilities to include, but not be limited to:
1. Provide administrative support to Executive Chairman and senior executives. Create, edit, and proofread marketing materials including, statements of qualifications, responses to requests for proposals and other marketing presentations.
2. Prepare materials for introductory client meetings and follow up workshop meetings.
3. Maintain strict confidentiality as it relates to sensitive corporate issues that are performed by senior executives.
4. Maintain electronic files of all prospective clients.
5. Maintain a marketing language file for future reference when creating new marketing materials.
6. Prepare extensive follow-up letters and supporting materials for prospective clients.
7. Assist in the design of corporate brochures, mailers and website.
8. Facilitate changes to the website and other marketing materials.
9. Manage marketing mailings.
10. Filing of incoming and outgoing correspondence, presentation materials, emails and memorandums to the paper and electronic marketing files.
11. Maintain prospective client contact information in Outlook.
12. Prepare correspondence via dictation both in person and via telephone.
13. Schedule meetings, conference calls and travel when required.
14. Manage US mail and email.
15. Timely and accurate completion of all documentation and tracking activities related to the construction change order process.
16. At the direction of the preconstruction and construction management team, type, format and assemble general contractor specification documents.
17. Save proposals from potential contractors accordingly.
18. Assist accounting department with a limited amount of reporting, vendor payment processing and other tasks.
