Position Summary:

The HR Specialist will play a key role in the administration of the human resources department and the delivery of positive onboarding and training experiences for employees.  Under the direct supervision of the VP of Finance & Operations, the HR Specialist will be responsible for onboarding new hires, providing administrative support for the department, delivering effective training, ensuring employee data and records are up-to-date and accurate, and serve as a resource to employees on human resources policies, procedures, and practices.   The HR Specialist will also act as a point person for employees with IT issues, and will liaise with our external IT provider.


Responsibilities: 


Will include but are not limited to:

  • Managing full lifecycle onboarding: conducting background checks, creating offer letters, maintaining employee files, conducting orientations, entering new hires accurately into HR platforms, ensuring all systems are up to date, processing I9, and following up with new employees to ensure a smooth HR onboarding.
  • Planning, organizing, and effectively conducting employee training on various IT applications, systems, policy, and compliance areas.  Monitoring and evaluating training results.  Suggesting and implementing suitable changes.
  • Serving as point of contact for employees and answering basic questions related to HR, IT, and company policies, and responding to all requests for verification of employment and employee information.  Referring more complex questions to appropriate senior-level HR staff or management.
  • Maintaining the integrity and confidentiality of personnel files, records, documentation, systems, and internal databases in an efficient & secure manner.  Accurately updating all record types as required.
  • Ensuring accurate and timely processing of payroll updates including new hires, employee transfers, changes in job classification, terminations, and changes to pay rates and deductions, and other related employment matters
  • Conducting audits of payroll, benefits or other HR programs and recommends corrective action.
  • Preparing HR documents and revising company records when needed
  • Assisting with recruitment and interview coordination: including job postings, scheduling interviews, follow up with candidates, etc. 
  • Providing administrative support to the HR department.  Running basic and standardized HR reports.
  • Assisting with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, etc.
  • Supporting department-wide or company-wide special projects and additional responsibilities as arise.
  • Performing other duties as assigned.


Education, Experience, Skills and Knowledge:

This role requires a Bachelor’s degree in human resources or related field and/or equivalent experience.  The role requires at least 2 years of proven hands-on experience in completing administrative duties, preferably within a human resources team; experience with teaching or training position is a plus.  The successful candidate must come with proficiency in Microsoft Office Suite and be savvy with information systems/databases.  The successful candidate will be organized, detail-oriented, engaging, and will be highly regarded for following-through with a smile.
