We are seeking a skilled and organized in-person Secretary/Bookkeeper to join our team. This position requires strong administrative and bookkeeping skills, as well as the ability to manage office tasks effectively. The ideal candidate will have experience in both secretarial duties and bookkeeping responsibilities.

Secretarial Tasks
- Perform general secretarial duties (answering phone calls, responding to emails, client contact)

- Maintain office supplies and equipment inventory

- Assist in plant ordering

- Manage office filing systems and maintain organized records

- Schedule appointments and manage calendars

- Update licenses

- Update vehicle tags/registrations

- Monthly Billing

- Payment processing

- Daily time review

- Proposal/Contract creation

- Assisting with estimates

- Sunbiz filings

Bookkeeping Tasks

- Daily AP

- Daily AR

- Monthly Bank Recs

- Financial Reports

- Quarterly Payroll Reporting

- Payment/Purchase Verifications

- Contact with CPA

- Weekly Payroll

Experience

-Proven experience in an administrative or secretarial role

-Familiarity with office management procedures and basic bookkeeping principles

- Excel/Word

- Quickbooks Online

- Quickbooks Desktop

- Bonus: Experience with Service Titan/Aspire

Requirements

- Signing of an NDA

Job Type: Full-time

Pay: $22.00 - $25.00 per hour

Expected hours: 30 – 45 per week

Benefits:

  • 8 hour shift
  • Day shift
  • Monday to Friday

Ability to Relocate:

  • Hobe Sound, FL: Relocate before starting work (Required)
