REPORTS TO: Medical Coordinator
OVERVIEW OF DUTIES:
The Medical Coordinator Aide must adhere and apply to Latino Family Institute, Inc. policies and procedures, code of ethics, Federal regulations, State mandates, the Flores Settlement Agreement, Trafficking Victims Protection Reauthorization Act, Perez-Olano Settlement Agreement, and the Violence against Women Reauthorization Act. Medical Coordinator Aide must participate as a team member of the continuous quality improvement process of Latino Family Institute, Inc. Apply one’s own code of ethics.
Job Summary:
The Medical Coordinator Aide is responsible for helping to assess, facilitating and monitor all components of UC medical services. The Medical Coordinator Aide will participate in weekly staff meetings, ongoing training and stakeholders meeting.
Education & Experience:
Required
- High School Diploma or equivalent GED.
- Bilingual English/Spanish, ability to read, analyzes, and interprets the most complex documents.
- Ability to respond effectively to the most sensitive inquires or complaints.
- Ability to effectively present information and respond to questions from program director, lead case manager, lean clinician, clients, stakeholders, etc.
- Ability to solve practical problems and deal with a variety of instructions furnished in written, oral and diagram or schedule form.
- Computer literate in Microsoft Office applications.
Key Responsibility Areas:
- Assist to schedule and comply with required medical and dental appointments and timelines. Assist to respond and comply to individual emergency medical needs immediately.
- Assist to obtain, compile, and maintain medical files on each admission. Ensure proper daily documentation in the UC Portal and maintain hard copy of required documents and medical record.
- Assist to collect, maintain, and submit weekly, monthly, quarterly, and annual reports to supervisor.
- Maintain Confidentiality guidelines meeting ORR and the State regulations and the safety of UC client.
- Assist to submit review and follow up all the Significant Incidents Reports regarding Medical Issues.
- Assist to schedule and provide transportation when is needed to UC on medical appointments.
- Assist with TAR (Treatment Authorization Request) request and follow up.
- Assist with any outstanding medical bills and insurance (Point Comfort underwriters).
- Assist in coordinating medical assessments within timeline (48 hours for medical initial examination and initial after 70 days of UC placement).
- Maintain a professional conduct and professional relationship with identified medical providers as well assist in finding providers/specialist as needed.
- Attend team meetings, staff reviews and any other trainings required.
- Adhere to Child Abuse Reporting requirements.
- Must be relied upon regarding task completion and follow-up meeting deadlines on time without sacrificing accuracy, work quality, or customer service satisfaction.
- Performs other duties as assigned.
Working Conditions:
- Availability to cover any work shift including, but not limited to, some weekends and evenings for home visits, quarterly trainings, support groups, and recruiting events.
- Works within a standard office environment.
- Ability to maintain set production standards.
Other General Statements/Minimum Qualifications:
- Be at least 21 years of age
- Be able to show proof of immunity to vaccine-preventable diseases transmitted by the respiratory route if working directly with UAC;
- Varicella: 2 doses of varicella vaccine (at least 4 weeks apart) OR born in the United States before 1980 with a reported history of chickenpox (verified by an adult present at the time of illness) OR titers indicating varicella immunity OR documentation from healthcare provider verifying previous infection.
- MMR: 2 doses of MMR vaccine (at least 4 weeks apart) OR titers indicating immunity to all 3 diseases
- TDap or Tdap: Complete primary vaccination series. If primary vaccination series completed in childhood, 1 Tdap dose in adulthood.
- Influenza: 1 dose annually during flu season.
- Possession of a valid California driver’s license is required and must maintain current automotive insurance coverage.
