What are the responsibilities and job description for the Chief of Staff position at Lawelawe?
The Chief of Staff will represent the CEO to outside callers, ensure he is informed of key organizational developments, and make sure he has the information necessary to make decisions and, in general, advance the CEOs projects and initiatives, working closely with the Executive Team and other Lawelawe staff.
DUTIES & RESPONSIBILITIES
- Direct day-to-day operations of the office of the CEO with a strategic approach, making sure to align the CEO’s meetings, travel, communications, and time with the organization’s priorities in service of its mission and purpose.
- Coordinate the executive team. Prepare substantive agendas for weekly meetings and ensure that the team is consulted closely on strategic decisions for Lawelawe. Ensure that necessary information is shared across and with the executive team from the CEO.
- Establish and implement a system of regular communications and engagement from the CEO to the staff, to the Board and other stakeholders.
- Make sure the CEO is prepared for strategic engagement in upcoming meetings by ensuring he has the information necessary to be productive and engaged, including working with Presidents on Communications to ensure proper preparation for speeches/panels, etc (such as talking points). Ensure follow-up from meetings, including communicating outcomes to relevant parties, and follow-up with internal and external stakeholders.
- Coordinate with BD and others to ensure that the CEO is focused on the larger strategic strategy for the organization.
- Respond to inquiries on behalf of the CEO, coordinating with relevant Lawelawe staff. Represent the CEO in meetings he cannot attend to take minutes and notes for the CEO.
- Oversee special projects and initiatives at the CEO’s direction.
- Other duties as assigned.
- This is a non-supervisory position
Education:
- Bachelor’s degree in business administration, International Affairs, or similar field; Master’s degree preferred.
- Proven experience working closely and using expert judgment with executives in a business or executive management role.
- Proven experience organizing and collaborating across multiple teams and departments, with the ability to build trusted relationships throughout the organization.
- Experience working with government contracting preferred.
- Proven success in a project management role preferred.
- Excellent written and oral communication skills.
- Extremely versatile; able to prioritize and perform multiple tasks with excellent attention to detail and the ability to set and meet deadlines and drive projects to conclusion.
- Nimble business mind with a focus on developing creative solutions.
- Strong project reporting skills, with a focus on inter-departmental communication.
- Ability to maintain the highest degree of confidentiality and exhibit unquestionable integrity, honesty, and forthrightness.
- Strong interpersonal skills and the ability to respond promptly to inquiries in a courteous and professional manner.
- Ability to successfully work collaboratively with all levels of employees, management and external partners.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel and Power Point).
