WHAT YOU WILL BE DOING As the Travel & Resource Coordinator, you will be responsible for coordinating all travel services for the CSM Production (CSMP) location. You will serve as the main point of contact regarding all travel, rental equipment, and resource inquiries support. In addition, you will assist in coordinating necessary resources for client projects to support company goals. Responsibilities: Responsible for conducting travel logistics for CSMP employees Review, organize, and prioritize all travel and rental equipment needs to ensure timely processing of requests. Confirm details of travel to determine destination, mode of transportation, travel dates, necessary accommodations, and budget. Adhere to and communicate the company’s travel policies to all travelers. Ensure travelers are aware of their obligations before, during, and after travel. Communicate confirmation details for all travel reservations prior to date of travel. Provide tentative itineraries and suitable alternatives when necessary. Adjust travel accommodations due to changes in schedule from travelers and vendors. Utilize reputable resources to analyze and evaluate commercial rates, lowest fares, times, routes, and appropriate car rentals. Track and audit travel activities, expenses, and payments. Evaluate and procure vendor services, as well as negotiate rates. Build and maintain strong relationships with vendors to ensure continuing discounts. Stay abreast on airfare guidelines for airports and their respected airlines. This includes but is not limited to security changes, new travel laws and regulations. Assist Sr. Director of Resources with ongoing projects such as finding resources for client projects and contractor onboarding. THE SKILLS AND EXPERIENCE YOU NEED Bachelor’s degree from an accredited college or university 1-3 years of experience in travel management. Ability to travel 20% of the time. (Approximately 5-10 events per year) Excellent communication and teamworking skills Ability to think Strategically and Creatively Advance knowledge of Microsoft Office Suite: Word, Excel, Outlook, and PowerPoint. Must have excellent negotiating skills. Must be able to adapt to frequent changes in demands from travelers and vendors. Ability to be highly adaptable and agile in a fast-paced environment. Must be cost conscious in order to stay within the budgeted amounts given. Have exceptional organization, project, and time management skills. WORK ENVIRONMENT: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filling cabinets and fax machines. While performing the duties of this job, the employee may be exposed to outdoor temperatures, airborne particles, and loud noise levels in the work environment. PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to speak, talk, and listen. In addition, the employee will be performing tasks that may require standing, sitting, walking, bending, kneeling, stooping, crouching, crawling, and climbing throughout the day. The employee may lift and move items up to 50 pounds.
