Key Responsibilities:
- Provide comprehensive administrative support to the assigned Executives.
- Manage the assigned Executives' calendar, including scheduling meetings, appointments, and travel arrangements.
- Complete expense reimbursement in accordance with company policy and procedures.
- Prepare and organize documents, reports, and presentations for meetings and events.
- Serve as the primary point of contact for internal and external communications on behalf of the assigned Executives.
- Coordinate and manage office supplies and equipment, ensuring the office operates smoothly.
- Cover the front desk, greet visitors, and handle incoming calls and correspondence.
- Assist with the planning and execution of events and meetings, including logistics and catering.
- Maintain confidential and sensitive information with discretion and professionalism.
- Keep regular business hours on behalf of the Executive Staff (8:00 am-5:00 pm).
- Be available by phone or email after hours as needed, especially when the assigned Executives are traveling.
- Other duties as assigned.
- High school diploma or equivalent; Associate's or Bachelor's degree preferred
- Minimum one year as an administrative assistant for a senior-level executive
- Office management/office support experience preferred
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent organizational and time management skills
- Strong written and verbal communication skills
- Ability to work independently and as part of a team
- Professional demeanor and ability to interact with all levels of the organization
- Attention to detail and problem-solving skills
- Ability to handle confidential information with integrity
