Job Description
Legal Services of Greater Miami (Legal Services) is a nonprofit law firm serving low-income persons in Miami-Dade and Monroe Counties. Legal Services is seeking a Legal Secretary. The legal secretary provides secretarial services for the attorneys and facilitates their provision of legal services to the community.
Essential Duties and Responsibilities:
- Independently prepares or transcribes as requested the legal pleadings, documents, letters, and other materials necessary for the provision of legal services to the community.
- Prepares the requisite number of copies as indicated by the document prepared or case handler requesting the document.
- Receives and screens visitors and telephone calls for assigned attorneys and take messages as appropriate.
- Utilizes the pleading bank system to generate documents in response to requests from case handlers for specific documents.
- E-file pleadings.
- Coordinate mediations and depositions with opposing counsel.
- Act as the point of contact among clients, judicial assistants, opposing counsel and internally among other attorneys and assistants.
- Assist other legal secretaries as needed and cover for their absence.
- Assist the assigned attorneys in maintaining their calendars, maintaining case files, and scheduling meetings, appointments, and court hearings.
- To the extent possible after fulfilling all of the above duties, legal secretary may be asked to assist in catching up with a backlog of data entry or other administrative work.
- Perform other job-related duties as assigned.
Required Skills:
- Strong organizational skills with attention to detail and ability to accomplish multiple tasks within agreed upon timeframes through effective prioritization of duties. Able to function in a fast-paced environment.
- Self-motivated; able to work both independently to complete tasks and respond to requests as well as collaborate with others to utilize resources and knowledge of others in identifying high quality solutions.
- Strong ability to follow up on pending items, track project progress and stay current on project status and milestones.
- Knowledge of MS Office (Word, Excel, PowerPoint and Outlook) software. Knowledge or capacity to quickly learn use of Legal Server case management system.
- Excellent verbal and written communication skills.
- Ability to handle confidential and sensitive information with professionalism and discretion.
Qualifications and Experience:
- Legal experience is required.
- Ability to operate a computer and use online resources.
- Ability to type a minimum of 60 words per minute and successfully pass a secretarial skills test.
- Knowledge of technical legal terms, various legal forms, and documents, or demonstrated ability to learn quickly with prior experience as a general office secretary.
- Ability to deal effectively with clients.
- Ability to willingly accept directions from persons with whom they are working, exhibit a spirit of teamwork and cooperation in completing job responsibilities, and have a work record which reflects dependability including availability on a prompt and regular basis.
