We are seeking an Assistant to the Business Manager to join our office team. In this role you will work closely and in direct partnership with the Business Manager on the financial development, performance, and maintenance of the organization.

To be successful in this role candidates must be reliable, trustworthy and highly proficient in Excel with a basic understanding of HRIS, AR, AP, HR processes and Payroll systems.

Qualifications

  • Minimum of 5 years’ experience in administration, office management or similar role.
  • Strong knowledge and a deep understanding of administrative tasks and office procedures required.
  • Tech savvy and highly computer literate with the ability to learn and / or launch new software platforms.
  • Exceptional time management skills with ability to prioritize critical tasks and meet deadlines.
  • Impressive problem-solving skills with the ability to analyze data and make informed decisions.
  • Adaptive and resilient with the ability to work well under pressure effectively and efficiently.
  • Excellent customer service and negotiation skills for interfacing with customers and vendors.
  • Results driven, self-starter who can work well independently and with various teams.
  • Must be highly organized and intuitive with acute attention to detail.
  • Working Knowledge of Sage and Paylocity platforms preferred.
  • Exemplary written and verbal communication skills required.
  • Proficient in Microsoft Office, Adobe Suite and Outlook.

Responsibilities

  • Provide administrative support to the Business Manager inclusive of AR, HR, finance and business management tasks.
  • Process information necessary for customer invoicing and manage account balances.
  • Communicate with customers to answer questions, provide guidance and / or resolve issues.
  • Build relationships with and negotiate contracts and agreements with vendors and suppliers.
  • Assist in the oversight of daily operations and ensure smooth functioning of the business office.
  • Compile data, type reports, and distribute as needed using individual initiative or as assigned.
  • Assist in leading a team of employees and provide guidance and support.
  • Ensure compliance with relevant regulatory agencies and industry standards.
  • Collaborate with cross-functional teams to drive business development initiatives.
  • Identify areas for process improvement and implement changes to increase efficiency.
  • Assist in developing and implementing strategies to achieve business goals and objectives.
  • Demonstrate a high level of professionalism in handling confidential and sensitive issues.
  • Perform other duties and special projects as needed and / or assigned.
