JOB TITLE: Administrative Assistant
LOCATION: Anchorage, AK
REPORTS TO: Executive Assistant
PAY RATE: $19-24/hour

SCHEDULE: 37.50 hrs/week and 7.5 hrs/day. Monday-Friday from 8:30 am- 5:00 pm with an hour unpaid lunch

Minimum Qualifications:
- Experience working as an Administrative Assistant or similar position in an office setting preferred.
- Must have High School degree or equivalent.
- Experience working in customer service with client relations.
- Experience using Microsoft Office Suite - Word, Excel, PPP and Outlook; Adobe Acrobat Pro; and client/record databases.
- Alaska Notary Public preferred.
Knowledge, Skills and Abilities:
- Highly organized, possessing a strong attention to detail, with solid verbal and written communication skills.
- Works well independently or in a team, is a multitasker, self-starter, exhibiting initiative, confidence, and maturity.
- Ability to efficiently plan, foresee, organize, and achieve set goals and objectives, with minimal oversight.
- Ability to answer a multi-line telephone system, screen, prioritize and transfer calls to appropriate personnel.
- Adept typing, word-processing, and data entry skills.
- Ability to learn and easily adapt to new and on-line based software applications and databases.
Responsibilities:
- Provides administrative support to executive team and various departments upon request.
- Greets visitors, screens phone calls, mail, and emails. Reviews and responds to inquires/correspondence, tracks and calendars dates/meetings and takes appropriate action as needed.
- Makes updates to website, web-based applications, and the shareholder portal.
- Composes/draft and edit letters, correspondence and memorandums, and follows simple instruction.
- Assists in processing, filing and maintaining incoming/outgoing shareholder records and preserving the organizational structure of shareholder files.
- Assists in Shareholder Relations, including creating marketing/promotional materials, running shareholder reports, posting e-mail blasts and working on Shareholder strategic planning projects.
- Maintain and update various lists, records and files in Granite (shareholder database), Excel, SharePoint or other databases assuring data is properly entered, retrievable and archived.
- Ensures the integrity of confidential information and corporate records.
- Assists in processing invoices for payment to various vendors or entities; Reconciles expenses, receipts and statements.
- Orders, stocks and maintains office supplies and equipment as needed. Arranges equipment maintenance and replacement/pick up of water, recycle, and shredding.
- Arranges, calendars and coordinates travel, meetings, and appointments.
- Processes land use permits for Leisnoi’s Lands Department.
- Perform various errands to/from post office, printers, store, obtain signatures, etc. as needed; and
- Performs other clerical and secretarial duties as assigned.
