Administrative Assistant
Under the Supervision of the HR Manager, the Administrative Assistant is responsible for handling front office reception, and administration duties, including greeting guests and employees, answering phones, handling company inquiries, and other administrative tasks as assigned.
Responsibilities and Duties
- Answers inquiries about the organization and route calls to the appropriate person.
- Handle phone calls from employees, clients, and referral sources.
- Hand out employee applications and company information.
- Send email and faxes.
- Coordinate mail flow in and out of the office.
- Greet visitors/employees/job seekers/clients warmly and make sure they are comfortable.
- Ensure the reception area, conference room, kitchen and file room are tidy and clean.
- Coordinate office activities to ensure there is coverage of phones and reception area is covered or notice is posted on the desk.
- Perform basic bookkeeping, filing and clerical duties.
- Provide general administrative/HR and clerical support. Provide various HR-related support to employees in topics such as leaves and compensation.
- Ensure knowledge of staff movements in and out of the organization.
- Monitor visitor access and maintain security awareness.
- Update databases, prepare and maintain spreadsheets as delegated.
- Maintain office equipment and coordinate maintenance of equipment.
- Adapt to changing work environments, work priorities and organizational needs.
- Sound judgment in reaction to emergency situations.
- Ability to work independently.
- Maintain strict client confidentiality as outlined in the HIPAA policy manual.
- Must be kind, compassionate, considerate, calm, and level-headed at all times in position while maintaining a positive attitude.
- Emotional resilience and the ability to withstand pressure on an on-going basis.

Job Type: Full-time
Pay: $17.00 - $23.00 per hour
