Summary of Position Requirements
Assist with a variety of duties including processing critical forms and posting of documents in a timely manner, compiling and updating reports, data entry, coordinating with construction managers, maintaining files, processing invoices, answering phones, etc. Position requires the ability to multitask and drive results in a team atmosphere. Individual must be self-motivated, detail oriented, and possess a can-do positive attitude.
Responsibilities
Primary Duties and Responsibilities
- Work closely with the divisions sales team to slot new homes for construction starts in order to meet divisional business plans
- Manage and maintain the Build Pro file postings via the web for job start information
- Obtain weekly production tracking reports from Construction Managers & enter into JD Edwards
- Prepare and maintain Settlement Tracking and Production Status Reports
- Obtain weekly updated information from the field on Production, Safety and SWPPP and enter into JD Edwards and Excel
- Interact and assist Purchasing Department to ensure timely response to field issues
- Prepare start packages for Construction Managers
- Monitor reports: permit, mortgage and closing package status
- Assist in obtaining inspections and certificates of occupancy needed for closing
- Create correspondence
- Maintain all company files relating to site plan applications, approvals, licenses and permits
- Distribute and collect Construction Quality Inspection Book from the construction team
- Schedule and coordinate meetings, appointments, etc
- Back up Customer Service Coordinator as necessary
- Assist Construction Managers administratively, as needed
- Special projects as assigned by the Director of Construction and or Division Environmental Manager
- Prepare and submit NPDES permit updates
- Create Storm Water EPO's for the Construction Manager's
- Interact with Division Area Manager's and Construction Manager's to confirm completion of work
Qualifications
Education and Experience Requirements
- Minimum High School Diploma or equivalent required
- Bachelor Degree preferred
- Construction experience preferred
- Strong organizational and management skills, ability to prioritize and take initiative
- Must be detail-oriented team player comfortable working in a fast paced environment with heavy volume workload
- Advanced PC skills Microsoft Word, Excel, and JD Edwards
- Excellent follow-up, communication (written and verbal) and time management skills
- Able to professionally perform multiple detail-oriented tasks with simultaneous deadlines
- Possess strong work ethic, integrity and loyalty
- Team player with the ability to work well under pressure
Contacts
Daily interaction with various division associates, outside agencies, business partners, consultants and homeowners.
Physical Requirements
This is primarily a sedentary office position that requires the ability to bend, stoop, reach, lift, move and carry office materials and supplies weighing 25 pounds or less. Finger dexterity required to operate a computer keyboard and calculator.
