Assistant Project Manager is responsible for designing and maintaining the production flow of our commercial projects. This person serves as the main line of communication between the shop employees, vendors, and the office team on their projects and must have excellent communication skills. They also have regular contact with the end client and must maintain positive relationships with clients and vendors.
Responsibilities
- Field telephone calls
- Maintain and coordinate schedules, appointments, and calendars
- Create spreadsheets, presentations, and marketing materials
- Maintain an organized filing system
- Conduct internet research
- Place orders for office equipment or business needs
- Enter data into reports as needed
- Create email and postal mail campaigns
Additional responsibilities include:
- Oversees each project from design to punch.
- Effectively maintains budget control and works to reduce costs on every project to enhance company profitability.
- Oversees the direction, coordination, implementation, execution, quality control, and completion of each project.
- Bilingual is a plus.
- Manage project-related paperwork by ensuring all necessary materials are current, properly filed and stored
- Direct project correspondences by preparing and reviewing project proposals, memos, meeting minutes and emails
- Communicate with clients to identify and define project requirements, scope and objectives
- Must be able to create work schedules to meet deadlines and budget constraints, while maintaining productive and cooperative working relationships.
- We are looking for someone who is highly organized and possesses a charismatic and positive attitude, with the ability to handle the stress of balancing multiple projects and deadlines.
- A willingness to learn landscape/irrigation plans and materials
- Must be able to do material Submittals
- This person will work directly with the Project Manager.
Qualifications
- Exceptional attention to detail
- Ability to organize and create orderly systems
- Experienced in computer technology that includes excel, google docs, PowerPoint, and social media marketing
- Good communication and interpersonal skills capable of maintaining strong relationships
- Strong organizational and multi-tasking skills
- Excellent analytical and problem solving abilities
- Documentation management and ability to use project management tools
Pay: $55,000- $65,000 yr.
