Title: Senior Executive Assistant (Supporting CEO Office) Location: Washington, DC (on-site) Type of Hire: Contract Duration: ASAP - May 2024, potential for extension. Hours: 40/hour week M-F (Shift will be 8:30am-5pm or 9am-5:30pm Pay: $30-36/hour
The Senior Executive Assistant provides high level executive and administrative support to the CEO and Medical Director.
Duties and Responsibilities
Organizes all aspects of the CEO/MD’s schedule, including in-house and local meetings, conference calls, out of town and international meetings, etc.
Arranges all travel logistics, both domestic and international: air, rail, rental cars, lodging, etc.
Processes passport renewals, visas, and related travel documents.
Prepares travel folders and related meeting materials, including briefing documents in time for review and comment prior to the meeting.
Works closely with the Chief of Staff and Special Assistant to coordinate day-to-day support for the CEO/MD Office and support for Officers, as needed.
Answers and responds to calls and written communication from members to CEO/MD.
Schedules use of CEO/MD conference room for in-house meetings. Works with appropriate staff to schedule external meeting sites.
Prepares meeting registrations for external meetings; processes registration material.
Prepares check requests and reimbursement requests on behalf of the CEO/MD after every travel, meeting, etc.
Composes correspondence of a routine nature.
Codes and processes corporate Amex invoices.
Processes and monitors allied organization memberships/dues.
Processes subscriptions, book orders, etc.
Perform other duties as assigned
Qualifications:
Bachelor’s degree required.
Minimum of 10 years administrative experience; with at least 5 years as an Executive Assistant to an Executive preferred.
Ability to work independently and proactively.
Excellent written and verbal communications skills.
Proficient in Microsoft Office programs and excellent technological skills.
Experience working with boards and senior organizational leaders.
Ability to multitask, prioritize and meet deadlines with minimal supervision.
Ability to maintain confidentiality.
Strong interpersonal skills with ability to work effectively with all employees and partners.
Must posses a strong focus on detail and accuracy of work.
Professional conduct and discretion exhibited at all times.
Preferred Skills:
Travel, Expense Reporting, and Managing executive calendar for domestic and international travel highly preferred.
