What are the responsibilities and job description for the Marketing Coordinator position at LEVY STRANGE BEFFORT LLC?
This position is 100% in office.
Under limited supervision, provides a wide variety of moderately complex administrative services, including but not limited to, secretarial, data collection, marketing, and report-writing tasks specific to the group or individual to which assigned.
Duties
- Responsible for the preparation of contractual documents.
- Maintains calendar of appointments for brokers in department as needed. Interfaces with company personnel and outside parties to coordinate meetings, tours, conference calls and appointments.
- Answers multi-line phone as a backup to office manager, providing callers with specific information, transcribing messages, and directing callers to appropriate staff or voicemail.
- Develop and maintain departmental filing & tracking systems.
- Provides additional support through printing, copying and mailing as requested by assigned staff / broker.
- Maintain good working relationship with clients and employees, providing assistance or directing them to the appropriate department to resolve questions or issues.
- Audits and maintains online listing websites for property accuracy.
- Maintains sign vendor relationships and manages sign requests for Office Team.
- Works with Research Director/Research Analyst to update and keep current specialty reports as well as monthly office slide decks.
- Schedules, shoots and edits property photos as needed.
- Creates marketing materials for the brokers including but not limited to site tour books, marketing surveys, offering memorandums, case studies, brochures, social media content, etc.
- Pulls reports of surveys, lease and sales comps as requested.
- Assists in keeping current team's pipeline and pulls transaction reports as needed.
- Works with Social Media Specialist to schedule content calendar of new transactions, closed transactions, specialty projects, etc.
- Works closely with Director of Administrative Services and Director of Marketing to keep branding current across all marketing platforms.
Miscellaneous
- Provides backup coverage for other areas as needed.
- Display professionalism and a sense of pride in all aspects of his/her duties and responsibilities.
- Ensuring and maintaining information is confidential and proprietary to the individual brokers within the office.
- Skilled in Microsoft Office products.
- Proficient in Adobe programs (InDesign, Illustrator, Photoshop, etc.)
- Must work well under pressure and independently.
- Ability to be creative and flexible in order to meet deadlines while working with changing priorities.
- Excellent organizational skills.
- Strong proofreading and editing skills.
- Excellent business vocabulary, grammar, and effective communication skills.
- Ability to maintain discretion regarding personnel and industry-related matters.
- Must be detail oriented to ensure accurate deliverables, and able to take initiative to meet deadlines.
- Willingness to work beyond the scope of normal business hours if and when special situations and/or urgent deadlines are necessary.
Physical Requirements
- Must be able to run miscellaneous errands outside of office, for example:
- take photos / videos of properties for marketing purposes.
- Plan, setup and attend property specific events.
