Position Description
The proposal coordinator works in a fast-paced, deadline driven environment to deliver best-in-class proposals, presentations, qualifications packages, and other marketing materials as needed. The role works closely with the marketing team, construction professionals, and senior leaders. This role will support proposals and presentations for both Philadelphia-based LF Driscoll and New York City based LF Driscoll Healthcare.
In the role of senior proposal coordinator, we’ll count on you to:
Support the Pursuit of New Business (90%)
- Manage, plan, organize, coordinate all elements of proposal development through submission: includes analyzing RFP/Q, outlining proposal and facilitating kick off meeting with pursuit team, enforce RFP/Q guidelines, working with pursuit team to develop responses, issuing drafts, incorporating reviewer comments, and preparing/submitting final package on time.
- Contribute to leadership and strategic direction for proposals and presentations.
- Develop customized, creative proposal/qualifications layouts and presentations.
- Work with pursuit team to prepare for new project presentations/interviews. Produce deliverables that may include slides and print/digital collateral.
- Coach and provide constructive reviews to pursuit team members during presentation prep.
- Direct coordination with pursuit partners as necessary.
- Promote collaboration and timely responses across disciplines (marketing, executives, project managers, superintendents, estimating, scheduling) to compose successful submissions.
- Maintain a thorough knowledge of LF Driscoll and LF Driscoll Healthcare’s markets, clients, projects, capabilities, staff, and primary competitors to support the development of pursuits.
- Act in a marketing resource or support role for other STO Building Group business units as needed.
- Provide mentorship to junior coordinators.
Manage Assets & Content (10%)
- Coordinate and maintain high volume of data information for projects, team members, market sectors, and project statistics in Open Asset, Cosential, and other information management tools.
- Write non-technical text/customize boilerplate text (firm profiles, resume descriptions, project profiles, etc.)
- Create new project resumes and profile pages.
- Consistent use/support of Salesforce.
Minimum Requirements
Bachelor’s degree preferred in Marketing, Communications, Architecture, plus 3 years of related experience or demonstrated equivalency of experience.
Preferred Qualifications
- 3-5 years of professional experience managing, coordinating, writing proposals.
- Demonstrated proficiency in Adobe InDesign and Photoshop, and Microsoft PowerPoint.
- Highly self-motivated, flexible, and resourceful.
- Detail oriented and organized, with exceptional prioritization and time management skills.
- Ability to manage multiple concurrent deadlines.
- Able to maintain a calm and cool demeanor under stress or deadlines.
- Excellent writing, grammatical, and proofreading skills.
- Strong graphic design abilities.
- Effective interpersonal skills and service role mindset.
- Able to give and receive constructive criticism.
- Travel between NYC and Philadelphia up to 3 times per month (day trips).
