Key Responsibilities:
- Payroll Processing:
- Process bi-weekly or semi-monthly payroll for all employees, ensuring accuracy and compliance with company policies and government regulations.
- Review and verify timekeeping records and manage any discrepancies or corrections in the payroll system.
- Calculate wages, overtime, bonuses, and deductions, including taxes, garnishments, and benefits.
- Compliance and Reporting:
- Ensure compliance with federal, state, and local payroll laws and regulations.
- Prepare and submit payroll reports, including tax filings, W-2s, and 1099s, and assist with year-end processes.
- Stay updated on payroll regulations and changes to ensure continuous compliance and provide recommendations for process improvements.
- Employee Support and Communication:
- Serve as the point of contact for employee payroll inquiries and resolve issues related to pay, deductions, taxes, and timekeeping.
- Educate employees on payroll-related processes, such as timekeeping systems and benefit deductions.
- Maintain clear and effective communication with HR, finance, and other departments to ensure alignment and accuracy.
- Data Management and Record Keeping:
- Maintain accurate payroll records and employee files, ensuring confidentiality and data security.
- Perform regular audits of payroll data to identify and correct errors, ensuring accurate financial reporting.
- Collaborate with HR and accounting to ensure alignment between payroll, benefits, and financial reporting.
- System Management and Improvement:
- Utilize payroll software and systems to manage and process payroll efficiently.
- Assist in the implementation and testing of new payroll systems, upgrades, and process improvements.
- Identify opportunities to streamline processes and increase payroll efficiency and accuracy.
- Associate or bachelor's degree in accounting, finance, business administration, or a related field is preferred.
- 2 years of experience as a payroll specialist or in a similar role.
- Strong knowledge of payroll processes, regulations, and compliance, including FLSA, tax withholding, and wage laws.
- Proficiency in payroll software (e.g., ADP, Paychex, Kronos) and Microsoft Office Suite, particularly Excel.
- Excellent organizational and time management skills, with strong attention to detail and accuracy.
- Strong communication and interpersonal skills, with the ability to handle sensitive information discreetly.
- Ability to work independently and collaboratively in a fast-paced environment.
- Certified Payroll Professional (CPP) designation is a plus.
