PURPOSE AND SCOPE

The HR & Recruiting Coordinator is a hands-on representative of the Human Resources department whose job is to help facilitate recruiting practices and objectives which include job postings, resume review, distribution of resumes to hiring managers, interview scheduling, travel and relocation planning and applicant tracking.  Additionally, this role has full scope HR administrative responsibility assisting with onboarding, working closely with the HR Generalist on department administration.   The coordinator strives for innovative ways to improve the efficiency of daily administration and overall operations of the recruiting and HR functions whose goal is to keep our clinics fully staffed and ensure a positive employee experience    This position requires the strictest confidentiality at all times on matters pertaining to the company and its employees.  

 

DUTIES AND RESPONSIBILITIES

In conjunction with and under the guidance of the Recruiter, HR Generalist & HR Director:

  • Distribute internal job posting list as changes occur.
  • Assist with preparing and posting jobs to job boards (i.e. craigslist, monster.com, indeed.com).
  • Coordinate interview schedule with hiring managers and candidates via phone and email. 
  • Provide follow-up correspondence to candidates via phone and email.
  • Track candidate interview expenses and compile expense reports for candidates as needed.
  • Assist Director with communications with travel agencies, opening requisitions for travelers; distributing submission packets to managers
  • Track travelers start and end dates; distribute as needed 
  • Assist in the coordination of other recruiting activities as needed.
  • Assist with creating and presentation of offer letters/packets and benefit information to candidates.
  • Guide new hires through the onboarding process; ordering background check, drug screens, requesting Covid vaccination information, verifying certifications and Licenses.
  • Create employee ID badges and distribute to new hires. 
  • Tracking program eligibility and utilization for scrubs, shoe allowance, tuition reimbursement and others.
  • Act as back-up to Recruiter and HR Generalist as necessary.
  • Special data entry projects as assigned, coordinating with the HR Generalist on WFN credibility and accuracy. 
  • Performs other duties as assigned.

 

 

EDUCATION AND REQUIRED CREDENTIALS

  • High school diploma or equivalent with some college or technical school coursework preferred. 

 

EXPERIENCE AND REQUIRED SKILLS

  • 2 – 3 years’ experience in Human Resources administrative support positions.
  • Previous experience working with healthcare professionals preferred.
  • Proficient in both oral and written communication skills and have an ability to maintain a good working relationship with others.
  • Ability to maintain a high level of confidentiality. 
  • Excellent interpersonal skills; strong customer service orientation.
  • Strong computer skills; specifically, Microsoft Office; ability to learn new systems with ease including HRIS, mastery of WorkForce Now and other systems within 90 days. 
  • Strong organizational and time management discipline. 
  • Ability to multi-task and operate effectively in stressful situations. 
  • Attention to detail.

 

PHYSICAL DEMANDS AND WORKING CONDITIONS

Day to day work includes desk and personal computer work and interaction with the HR team, candidates, facility staff and managers at all levels of the company. The position may require travel between facilities and various location within the community. Travel to regional, and Corporate meetings may be required.

 

The work environment at times may be characteristic of a healthcare facility with air temperature control and moderate noise levels. May be exposed to infectious and contagious diseases/materials.

 

The employee may occasionally be required to move, up to 30 lbs., and may lift office supplies or equipment of up to 30 lbs. up as high as 5 feet.
