Overview
Licona Insurance Group is seeking an experienced Executive Assistant to join the team. You will be responsible for supporting the CEO/President and the Senior Leadership Team by providing efficient administrative and clerical services. The Executive Assistant manages multiple priorities with exceptional organizational skills and strong attention to detail, while maintaining a high degree of professionalism when engaging with the CEO/President, Senior Leadership Team, and multiple stakeholders, both within and outside Licona Insurance. To be successful in this role, you are proactive, meet deadlines and communicate effectively.
The Executive Assistant will have direct accountability and report into the CEO/President.
Responsibilities
· Provide full range of administrative support i.e., answering phones, taking message, etc. to the CEO/President
· Manage information flow in a timely and accurate manner
· Manage, coordinate, and maintain calendars and meetings for CEO/President and the Senior Leadership Team as necessary
· Take minutes during meetings, properly update, and maintain minute books
· Prepare emails, letters, and other communications on behalf of Licona
· Plan/coordinate meetings and events (both onsite/offsite) including agenda and materials, calendar invitations, technology, and catering orders
· Solid experience with office management systems
· Format information for internal and external communication – memos, emails, presentations, reports
· Process all invoices received for payment and complete expense reports
· Prepare weekly, monthly, or quarterly reports
· Organizing and maintaining the office filing system, and where possible create electronic files
· Organizing and managing documents, including the creation of spreadsheets and deck presentations
· Fosters a diverse, inclusive, and positive workplace
· Experience exercising discretion and confidentiality with sensitive company information
· Coordinate travel arrangements and itineraries
· Additional general office duties may include ordering office supplies, mail distribution, preparing binders/documentation for executive meetings
· Performs other duties
· Some travel may be required
Education Requirements
· University degree, and/or College diploma would be preferred (or equivalent experience)
· BSc/BA in communications, public relations or relevant field would be an asset
Critical Requirements
· Minimum 5 years of executive support level experience, preferably in an insurance or professional services work environment
· Ability to prioritize workload and assignments
· Strong communication and writing skills, with attention to detail
· Proficiency in MS Office Word; Excel; PowerPoint and familiar with office management technologies
· Knowledgeable in QuickBooks needed to manage basic bookkeeping
· Outstanding organizational and time management skills
· Confidence and ability to work independently
· Advanced skills and experience with technology solutions and software
· Ability to proactively exercise good judgement and take initiative
· Available to travel and have a flexible work schedule
Beneficial Requirements
· Bilingual in Spanish
· Certifications / Courses in time management, creative problem solving, assertiveness and self-confidence and/or communication strategies
· Experience in Project Management is an asset
· Previous Executive Assistant experience
