Training Coordinator
Position Summary: As Training Coordinator, you'll join a team of passionate specialists who enjoy a fast-paced, customer-focused culture. You will be the primary contact for customers and work directly with sales, vendors, partners, product development and LCE team members to exceed expectations, ensure an excellent customer experience, promote process compliance and uphold business data integrity.
Essential Functions and Responsibilities:
Execute external and internal customer service and communication activities, including:
Responding to product and service inquiries via phone and email, sending pricing proposals and addressing general customer inquiries
Responding to help desk trouble tickets, basic troubleshooting (login issues, password resets, etc.)
Providing hospitality resources and special event arrangements as directed
Produce virtual training programs:
Schedule and manage preparatory sessions
Troubleshoot technical issues during sessions
Support facilitator in adhering to training session plans
Documenting feedback for virtual training product improvement
Manage the testing and capstone project process associate with certificate programs
Manage data and quality control of product portfolio databases (LMS, ProctorU) and customer relationship database (MS Dynamics) management, including:
Processing customer orders
Creating and managing private class registration and product license records with associated "tracked" details
Ensuring online product delivery
Run system reports and perform basic analysis of findings as requested
Conducting data integrity audits
Improve and manage standard operating procedures (SOPs)
Provide ILT (instructor-led training) delivery resources and logistical needs:
Process purchase requisitions
Update master class logistics calendar, participant rosters, and resource checklists to ensure availability of all class materials, resources, classrooms, meals, refreshments, and registration packets.
Order, prepare and stock various class materials, supplies, deliveries, catering materials, and other items and information as directed
Distribute, compile and analyze class evaluation sheets at the end of each class via evaluation database; provide detailed reports on class and facilitator evaluation feedback; coordinate quarterly evaluation review meetings
Partner with facilitators before, during and after each class to ensure classroom and participant needs are met
Courteously greet all class participants, clients, employees, vendors and visitors, etc., identifying needs and providing appropriate directions, resources, and/or locations, etc.
Provide facilities, supplies, shipments, attendance, and problem resolution for each class
Ensure timely communication to Institute team on registrations, participants, and cancellations.
Execute product improvement tasks:
Carry out management of change (MOC) tasks as assigned by corporate MOC process
Document and add improvement ideas
Publish quarterly course training evaluation results (eLearning, VILT, ILT), analyze trends and suggest priority areas of improvement
Conduct user testing of eLearning and online products as assigned
Assist in marketing functions such as:
Work with marketing department to ensure the web site is up to date
Maintain current class schedule on external web sites
Proofreading and copyediting when necessary
Provide administrative support resources as necessary, including copying, faxing, scanning, filing, sorting, mailing, answering phones, expense reports and preparing documents and other correspondence via computer
Assist other team members with their responsibilities based on volume of work and established priorities
Required Education, Skills, and Experience:
Bachelor's degree (experience in lieu of degree will be considered)
3 years' experience in professional customer service in a business-to-business environment and/or inside sales experience
Prior experience ordering and maintaining supplies, materials and equipment within an established budget; previous inventory control experience helpful.
Strong skills in online meeting apps (Zoom, WebEx, Microsoft Teams). Experience as a "producer" for online events (desired)
Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint required
Proficiency in web collaboration tools: MS CRM, MS SharePoint, CVent (event management software), ProctorU, Dropbox, and WordPress (desired)
Strong skills in customer management database: MS CRM or other
Consistent delivery of exceptional customer service and hospitality
Warm and approachable personality that quickly establishes a professional rapport and works well around any organizational level (e.g. clients, class participants, vendors and visitors)
Professional written and oral communication skills
Solid math skills with the ability to reconcile payments on a regular basis and maintain required documentation
Attention to detail is critical, with added insight into how "the details" impact overall business and Institute
Must be resourceful in gathering information and figuring out new tasks
High sense of urgency to complete time-sensitive tasks. Ability to prioritize work in accordance with urgency and "shift gears" quickly in a fast-paced environment.
Ability to work as a team player and demonstrate personal initiative to complete the work of the team
Physical Demands and Expectations:
Ability to speak, read, hear and write, with or without assistance
Ability to use phone and computer systems, postage meter, copier, fax and other office equipment
Some scheduling flexibility is required to meet the emergency needs/demands of the building and Institute
Occasional physical activity to include walking, climbing stairs/stepstools, bending, stooping, reaching, lifting (up to 50 pounds), and standing for prolonged periods of time
