Summary: Greets visitors and answers phone at front desk/reception area. Direct visitors/callers to appropriate staff and provide basic administrative/clerical skills for Finance and Payroll Depts.
Responsibilities: Greets visitors at front desk and have visitors sign Visitor Logbook. Answer phone at front desk/reception area and ascertain nature of business and direct caller to appropriate person. Place outgoing calls (when required) using proper telephone technique in accordance with agency standards. Types routine correspondence. Copies and scans correspondence and other printed material. Distribute �Rep Payee� checks for clients to appropriate staff members in accordance with Rep Payee policy. Distributes incoming mail and faxes and prepares outgoing interagency and external mail. Operates office machines such as computer scanner copy machine postage meter and fax machine. Order supplies when requested. Manually updates employee deductions in ADP for various dues and fees (for Payroll Dept) Assist Payroll Dept with Escheat process including mail merge printing and sending letters to employees (quarterly) Run and distribute Payroll reports to Finance Other duties and responsibilities as assigned or needed.
Other information: QUALIFICATION REQUIREMENTS: High school diploma or general education degree (GED); or six months to one-year related experience and/or training; or equivalent combination of education and experience. NECESSARY SPECIAL REQUIREMENTS: Driver's License. JOB KNOWLEDGE SKILL AND ABILITY: Ability to read and comprehend simple instructions short correspondence and memos. Ability to write simple correspondence. Ability to apply common-sense understanding to carry out instructions . Good communication skills and pleasant manner on telephone and in person. Ability to operate computer copy machine scanner and postage meter. Ability to type accurately at a reasonable speed. Understands and exhibits understanding of the confidential nature of Payroll and Finance information. Familiarity with agency's policies and procedures relating to client rights client records and confidentiality. Familiarity with agency�s policies and procedures relating to emergency situations and the ability to deal with such situations in a calm and effective manner. Sensitivity to the needs of the disabled. Ability to carry out duties independently and in a timely manner in a diversified setting. Ability to successfully complete all required training and certifications Oral and written communication skills including speech grammar spelling and legibility are at sufficient level to ensure effective and appropriate communication. Ability to add subtract multiply and divide in all units of measure using whole numbers common fractions and decimals either manually or by use of a calculator.
