Our endeavor is to reflect the neighborhood, culture, and spirit of the city by offering a food and beverage program devoted to the bountiful ingredients offered in the Bay Area region.
Job Overview:
- Act as support for the Sales & Events Managers and Director of Sales in administrative duties and sales activities. This includes creating proposals, contracts, group resumes, BEOs, VIP alerts and keeping the database up updated.
- Answer telephone and email messages in a professional and timely manner.
- Qualify incoming Sales requests via phone and email and disseminating leads to appropriate Sales Manager in a timely fashion.
- Maintain Opera accounts, including traces, creating, and updating bookings.
- Composition of daily, weekly, monthly, and annual reports as requested
- Maintain the various Sales file systems, both electronic and paper, including Account Files, RFP channels and master documents.
- Disseminate information regarding VIP guests and reservations to other hotel departments
- Maintain an inventory of all standard department supplies and printed materials, including but not limited to brochures, letter head, note cards, menus, sales kits, sales amenities, etc.
- Work closely with hotel operations departments to ensure all client and guest requests are met and executed in a timely fashion.
- Consistently offer professional, friendly, and engaging service.
- Perform any other reasonable duties as required by the Relationship Director or management of the Hotel.
- Assist Sales team with site visits. Conduct site visits as needed when Sales Managers are out of office.
- High-School diploma or GED required
- Hotel experience preferred but not required
- Excellent reading, writing and oral proficiency in the English Language
- Excellent organizational skills and attention to detail
- Ability to multitask
- Excellent time management skills
- Must be courteous and gracious, maintaining a professional demeanor at all times
- Must be a technically skilled business professional who is willing and able to find innovative solutions and process improvements while maintaining expenses
- Excellent interpersonal skills, has high energy and enjoys working with people
- Must be positive, result oriented and able to work well under pressure and guidelines
- Must be able to work well with a diverse group of team members, including Sales Managers, banquet staff, department heads and supervisors
- Able to handle a large volume of guest interactions in an efficient and courteous manner
- Expertise in Microsoft Office, Internet and Outlook required – Delphi Salesforce and Opera experience a plus.
