Job Summary:
The Finance Assistant plays a crucial role in supporting the financial operations of our non-profit organization. This position primarily focuses on assisting with various financial tasks, ensuring accurate and timely financial records, and maintaining compliance with applicable regulations. The Finance Assistant will work closely with the finance team to help monitor and analyze financial data, assist in budget preparation, process financial transactions, and contribute to the overall financial management of the organization.
Responsibilities:
Financial Record Keeping: Maintain accurate and up-to-date financial records, including receipts, invoices, and financial documents.
Organize and file financial records in accordance with established procedures.
Assist in the preparation of financial reports and statements as required.
Accounts Payable and Receivable: Process invoices, bills, and other payables accurately and in a timely manner.
Ensure proper coding and authorization of all payables and maintain accurate vendor records.
Prepare and issue invoices for services rendered and monitor timely collection of receivables.
Expense Tracking and Reconciliation: Assist in tracking and reconciling expenses against budgets and project grants.
Collaborate with program managers to ensure accurate allocation of expenses.
Identify and communicate any discrepancies or irregularities to the finance team.
Budgeting and Forecasting: Provide support in the preparation of annual budgets and periodic financial forecasts.
Assist in analyzing financial data to monitor budget performance and identify variances.
Help prepare financial reports and presentations for management and board meetings.
Compliance and Audit Support: Ensure compliance with financial policies, procedures, and regulations.
Assist in coordinating internal and external audits and provide required documentation.
Collaborate with the finance team to implement audit recommendations and improve processes.
General Financial Support: Assist with financial analysis, including cost-benefit analysis and financial modeling.
Collaborate with the finance team on financial planning, risk management, and decision-making.
Support the finance team in ad-hoc financial projects and initiatives.
Qualifications:
- Bachelor's degree in Accounting, Finance, or a related field (or equivalent experience).
- Previous experience in finance or accounting, preferably in a non-profit organization.
- Solid understanding of financial principles, practices, and regulations.
- Proficient in using financial software and tools, such as Excel, accounting software, etc.
- Strong attention to detail and accuracy in data entry and financial record keeping.
- Excellent organizational and time management skills.
- Ability to work independently and collaboratively within a team.
- Strong analytical and problem-solving abilities.
- Good communication skills, both written and verbal.
