We are on a mission to be a disrupter in our industry. If that sounds interesting to you, we are hiring for an Executive Assistant to join our team! The Executive Assistant will provide high-level administrative support to President, Assistant Director of Operations, Director of Administration, Director of Shared Services and the Business Development Manager for travel coordination.
Job Responsibilities:
- Proactively organize the leadership team and their calendars as thoroughly as possible by maintaining complete control of their files and schedule at all times.
- Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.
- Arranges travel and accommodations for executives.
- Take over as much as possible from the team's agenda (both personally and professionally), freeing them to focus on critical activities. Likewise, you should take initiative on tasks and be able to work independently.
- Protect the leadership team from interruptions; informed in an appropriate manner of issues that need their attention, yet as undisturbed by internal/external interruptions as possible.
- Facilitate office systems pertaining to general office organization and operation that empower the workers and create efficient workflow in the office.
- Navigate and post to social and business media such as LinkedIn
- Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
- Accounts Receivable and Accounts Payable (entering invoices, paying vendors, reconciliation of statements, end of month reporting)
- Exemplify a high level of professionalism at all times; answering inbound calls and providing excellent service to internal and external customer.
- Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.
