Position Summary: Responsible for a wide range of administrative and office support activities for the Livent Charlotte office to facilitate the efficient operation of the organization.
Essential Duties and Responsibilities:
General Office management
- Front desk reception
- Mail/courier
- Deliveries
- Manage visitors, including required safety trainings
- Answer incoming calls
- Support all CLT office meetings, both internal and external to prepare conference rooms, including to provide food and drink, and travel arrangements as needed
- Coordinate monthly Charlotte Office Collaboration meeting, including leading meeting, presenters, and ordering lunch
- Maintain office and kitchen supplies for both floors - check inventory and order items
- Review and reconcile monthly cost center expenses, including purchase orders for CLT office
- Coordinate on-boarding activities for new-hires to CLT office
- Lead Document Retention for Charlotte Office
- Liaison for various office contract/vendor services, including Foundry lease
- Foundry property management contact including communicate all Foundry activities to Charlotte office employees, submitting work orders and checks of office areas to be clean and functioning
- Check fire extinguishers monthly to ensure they are functional and initial. Coordinate annual inspection with fire marshal to check extinguishers

Education and Experience
- High school diploma or equivalent, Bachelor’s degree preferred
- 2-3 years prior related experience
Knowledge and Skill Requirements
- Proficient with MS Office (Excel, Word, Outlook, PowerPoint)
- SharePoint desired
- SAP strongly desired
- Excellent verbal and written communication skills
- Strong time management and prioritization skills with ability to multi-task
