General Position Summary: The Buildings Supervisor supports museum operations with administration, repairs, site improvements and project management. The supervisor is responsible for providing expertise and maintaining all historic collections buildings, visitor buildings and modern buildings (approximately 46 in total). This includes planning, organizing, budgeting/bidding, directing, and coordinating the maintenance activities relating to the protection, safeguarding and security of museum building assets. Asset protection includes keeping people from harm and keeping the physical museum buildings safe and secure. This position also coordinates third party vendors supporting building improvements and security initiatives.

Specific Duties:

  • Develops and maintains the safety and physical security strategy of museum buildings to minimize risks and engage employees/volunteers to be safety-minded.
  • Creates and manages a cyclical maintenance plan in MaintainX software that ensures optimal stewardship of Living History Farms historic sites & modern buildings.
  • Develops and monitors compliance of the Board-approved maintenance budgets for the museum on an annual and long-range basis.
  • Works with computers and other technology devices to prepare project schedules, create vendor bid requests, respond to emails, draft written reports, track maintenance requests, prepare written materials, activity logs and project status including documenting activities and conveying information to department managers and leadership.
  • Plans, implements, and enforces the security of the buildings, maintenance operations, policies and procedures and training in compliance with state and local and federal regulations.
  • Proactively administers the environmental, health & safety responsibilities of the museum. This includes preventative building maintenance and pest control.
  • Maintains work areas of the Maintenance Building complex in a clean, orderly, and safe condition at all times.
  • Operates power equipment including drills, saws, generators, sump pumps, modern tractor, and farm equipment, and performs maintenance tasks in conjunction with department staff & volunteers.
  • Actively participates in meetings, workshops, trainings, and planning sessions. Provides expertise in identifying and resolving maintenance problems and safety and security improvements to museum buildings in a timely manner within the Maintain X system to field requests from museum staff for maintenance related issues.
  • Responds to emergency maintenance requests during and after hours for the purpose of resolving immediate safety concerns.
  • Assesses and evaluates physical security risks that could impact the museum. Establishes and reviews risk mitigation techniques and tactics based on museum standards and best practices. Determines corrective actions and preventative measures, and steps where needed.
  • Recommends, procures, and installs priority safety equipment and supplies for the effective operation of the museum building security systems. Maintains the alarm and fire systems in optimum working condition.
  • Coordinates with the museum curator to develop museum standard quality collections storage, exhibit space, and restoration priorities.
  • Coordinates with the collections department to monitor the conditions of historic 9 structures, making recommendations for preventative measures and developing
  • plans for upgrades.
  • Works with Curator to coordinate and supervise outside vendors/contractors for heating repairs related to the restoration of the collection, working withing the parameters of the collection budget and regulations regarding historic structures.
  • Coordinates with the Community Engagement Director on grants and fund development for maintenance projects, site maintenance and improvement projects and capital improvements. Must ensure donations for project work are fulfilled in a timely manner.
  • Drafts, implements, and updates RFPs, building reports, policies, and procedures. Obtains and coordinates quotes and arranges for services of outside vendors for all necessary functions in cooperation with the President and the Director of Finance.
  • Performs other duties as assigned.

Education and Skills

  • Bachelor's degree or equivalent experience.
  • Previous security experience preferred.
  • Minimum of 3-5 years of successful supervisory experience.
  • Must demonstrate working knowledge of the following building trades and equipment: electrical, plumbing, boilers & HVAC, carpentry, masonry, plaster and painting and finishes.
  • Must have considerable working knowledge of the occupational hazards and safety procedures applicable to maintenance and construction work.
  • Maintenance and property management skills preferred.
  • Technically relevant work experience in safety and security fields preferred. Ability to understand plans, sketches, and construction drawings.
  • Ability to inspect and drive modern maintenance and agricultural equipment including gators, and tractors, skid-steers, snowplow equipment, mowers.

Certificates, Licenses, Registration

  • Valid Iowa Driver's License and ability to remain insurable under the museum’s insurance policies.
  • OSHA Safety training certificates preferred.

  • Excellent people management skills and demonstrated ability to manage relationships with vendors and contractors, employees, and volunteers.
  • Calm demeanor, especially in a crisis situation.
  • Dependability, flexibility, and adaptability in a dynamic, program/event-driven environment..
  • Ability to make sound decisions and good judgment within the guidelines of museum policy and procedures, budgets, and historic preservation standards.
  • Effective time management and demonstrated ability to organize daily work and instruct team members to complete work assignments in a timely manner and adhere to deadlines..
  • Must be able to perform duties in a professional manner and appearance that reflects favorably on Living History Farms and adhere to the museum's code of ethics, employee handbook and other organizational policies.

Communication

  • Proficient in Microsoft office suite products and applications, including excel spreadsheets and email.
  • Ability to create reports and maintain formal maintenance records. Ability to communicate via phone, email, and text messaging.
  • Excellent customer service skills.
  • Effective Communication, organizational, planning, written and verb skills.

Environment & Conditions

  • This position performs work in all kinds of weather throughout the year and outdoors in non-climate-controlled environments..
  • Must be able to lift and carry 50 pounds.
  • Must be comfortable using farm machinery, gators on gravel roads.

Position Hours: This position ensures the department is staffed during museum business hours of operation. The department is staffed on a regular Tuesday - Saturday schedule weekly from 8:30am-4:30pm.
