The department Secretary is responsible for providing support for the department. This position involves dispatching, tracking calls, maintaining file systems, support for budgeting and invoices, recording minutes from a number of meetings, assisting with all office procedures, and anticipate the needs of the department as is necessary to maintain all departmental supplies. This individual must demonstrate great time management skills and be able to work independently as necessary.
Responsibilities
- Answer the department request phone and dispatch all calls to appropriate staff.
- Prepares Agendas, Presentations and types meeting minutes.
- Logs invoices and Purchase Requisitions.
- Responsible for all inter-departmental supply ordering.
- Prepares for Joint Commission, as well as other major projects as assigned.
- Demonstrates excellent customer service and organizational skills to ensure that the department runs smoothly.
- Various timekeeping and personnel reporting functions.
- Performs other duties as assigned or requested.
Qualifications
Required:
- High school diploma or equivalent and/or equivalent working knowledge
- Minimum 1-2 years’ experience in general business
- Proficient in Microsoft Office Suite (word, excel, powerpoint)
