The Library Administrative Services Assistant‎ will assist librarians in all offices by handling administrative tasks vital to the efficient operation of the Library/Information Services Department. The Library Administrative Services Assistant‎ will also assist with maintaining the physical library collection in Houston, and will also process library materials for other firm offices. This is a non-billable position critical to the success of the Department. The Library Administrative Services Assistant‎ will assist with non-billable library tasks as assigned. Duties & Responsibilities: Prepares monthly cost recovery reports for several library subscription databases; Provides password assistance and troubleshooting for various library resources; Processes invoices and allocates expenses to appropriate offices and budget lines; Maintains the firm’s archive of artwork; Handles basic document retrieval requests such as for dockets or news items; Identifies missing materials in order to initiate the claiming process with vendors; Engages in continuing education opportunities, particularly when it comes to enhancements to the integrated library system; Maintains overall physical organization and appearance of Library by ensuring materials are properly returned to the shelves; Assists with ordering articles or other documents through publishers or private law library organizations to which Locke Lord belongs; Works with local library community to borrow and loan materials as needed; Participates in team meetings with fellow library staff members from all offices; Processes physical library materials for all offices including managing holdings in the Firm’s library catalog; Ensures relevant information is captured in the Firm’s library catalog as required by the Library Manager and library staff; Assists Library Manager with monthly budget performance review process and preparing the library’s annual budget; Conducts routine non-billable research as assigned; Assists Library Manager and other librarians with subscription renewals as needed; Assists librarians across the Firm as needed; and Assumes additional duties and responsibilities as needed. Education & Experience: Bachelor’s degree required Strong attention to detail; Strong technology skills and experience applying technology tools to solve problems; Ability to work independently while producing timely and accurate work product; Demonstrable knowledge of Microsoft Office software particularly, Outlook, Word, and Excel; Prior experience with budgets or bookkeeping, working with vendors to resolve billing issues, and experience with an invoice management system; Knowledge of SharePoint a plus; Previous experience in a law firm library is strongly preferred; Previous experience with an integrated library system is strongly preferred; Previous experience with adding/updating records to databases is strongly preferred; Excellent organizational, interpersonal, communication, and customer service skills; Demonstrated aptitude for problem-solving and managing issues to satisfactory closure; Proven resilience and adaptability in a fast-paced work environment. Additional Information: Supervisory Responsibility – This position has no direct supervisory responsibilities. Work Environment – This position operates in a professional office environment. Position Type/Expected Work Hours – This is a full-time position. Days and hours of work are Monday through Friday, 8:30 a.m. to 5:30 p.m. Occasional evening and weekend work may be required as job duties demand.
