Job Summary
We are looking for a Senior Project Manager that is responsible for managing multiple projects and ensuring that project work is delivered on time, within budget and is in line with the client’s expectations. After project work is completed, the Senior Project Manager will leverage an efficient process to gather client feedback as well as review the project delivery with the team to determine opportunities for evolving the work methods, increasing efficiency, profitability, and client experience.
What You’ll Own
- Review new project assignments and host internal kickoff with engineer manager, pre-sales and account manager for information gathering. Review BOM, hardware and shipping information, client environment details/specifications/requirements, and next steps.
- Host internal meeting with Lockstep technical resources to review the project deliverables and budget, develop SOW with high level project deliverables, project milestones, deliverables, and project validation criteria.
- Create project plan within Teamwork to document and track tasks, engineering allocation and time entry, and project risks and issues.
- Host kickoff call with client, assigned engineering resources and Account Manager. Discuss key project dates, high level milestones, deliverables, and project validation criteria. Provide clients with all project resource contact information.
- Maintain project updates within CW application for transparency to other departments and resources. This includes validation of hardware shipping/receiving, etc. Escalate risks and issues as appropriate to PMO Manager and AM.
- Manage hardware logistics: Where hardware is to be stored and staged (if applicable).
- Schedule, coordinate, and complete asset staging and tagging.
- Coordinate delivery of hardware to client site.
- Manage status of all hardware and licensing orders.
- Review project finance setup and confirm all financial data converted to project appropriately for budgeting and financial review.
- Create and manage project plan and schedule. Finalize with project team and client. Forward to PMO Director for baseline.
- Coordinate resources to survey, document, deploy, configure, test, and cutover solution proposed to client within the guidelines of the SOW. This includes travel, onsite access, and maintenance windows.
- Create SOW or project plan for sub-contractors completing work onsite if threshold is met (projects where sub-contractor labor is over $5000 at a single site).
- Host recurring project meetings with client, AM, pertinent contractors, and TFMX technical resources at frequency requested/approved by the client.
- Send agendas to all meeting participants one business day prior to any scheduled client call or meeting. PMO Meeting Agenda Template to be utilized to meet this job requirement.
- Send meeting minutes and action items to all meeting participants no more than two business days following any client call or meeting. Update project schedule and task status following client meeting and/or call.
- Send project status updates to the client and project team twice per month. PMO Status Report Template to be utilized to meet this job requirement.
- Facilitate change requests as required, internally and/or externally. Change requests may be necessary due to delay of purchase orders, delay of equipment delivery, change of scope, addition/loss of project resources, etc. The change request process will require approval from the Project Manager, Account Manager and client.
- Maintain financial data throughout duration of project. PM is responsible for the following as they apply to project finances:
- All expenses for all resources, including travel, regardless of reimbursement and/or method of payment and/or billable vs. non-billable vs. no charge.
- All time entries for self and TFMX resources contributing time to project deliverables and/or requirements, regardless of time entries documented as billable vs. non-billable vs. no charge.
- Invoice review for accuracy, scheduling/releasing of invoicing at intervals/milestones documented in SOW and/or quote (if applicable).
- Sub-contractor invoice review, approval, and submission to AP.
- Create a project signoff document for the client stakeholder to sign, acknowledging completion of the project. Projects with multiple deployment sites billed separately require signoff per site. PMO Site Signoff Template is to be utilized to meet this job requirement.
- Following completion of project tasks, forward operational turnover documentation to the client, containing all relevant project information that the client may need in the future to maintain devices/systems implemented by Lockstep. Any outstanding tasks, risks or issues should be noted in this documentation. Any outstanding tasks remain the responsibility of Lockstep until complete. PMO Operational Turnover Template is to be utilized to meet this job requirement.
- Following receipt of signoff from the client, complete the following:
- Closing project financials and ensure all time entries and expenses have been submitted.
- Lessons Learned meeting with the project team to document lessons learned. PMO Lessons Learned Template to be utilized to meet this job requirement.
- Following receipt of signoff from the client, complete the following:
- Notify PMO Director when project is complete for baseline closure date and forwarding of survey to client.
Requirements
What We’re Looking For
Minimum Requirements:
- 4 years’ experience in IT Project Management, preferably in an IT Vendor/Consultant environment.
- 2 years’ experience in writing technical scopes of work, planning, and executing network infrastructure projects (layers 1, 2, and 3).
- 2 years’ experience in managing projects with strong emphasis in Network Infrastructure, Data Storage, IaaS, DRaaS, Cloud Services, VoIP, and Wireless implementations.
- Experience in scoping Cisco, Meraki, Aruba, and Fortinet projects a plus.
The Senior Project Manager must have the competency to manage projects that fit within the following criteria:
- Projects with a duration of 6 months
- Multiple vendors
- Varying levels of engineering resources
- Project budget > $250,000.
- Experience in Data Storage, IaaS, DRaaS, Cloud Services, VoIP, and Wireless implementations a plus.
- Leadership skills.
- Excellent written and verbal communication skills.
What to Expect
- Office environment: prolonged sitting at a desk and using a computer in an office with other employees.
- Onsite environment:
- Must be free from physical restrictions that prevent the candidate from walking, standing, stooping, bending, twisting, climbing ladders, and walking on uneven surfaces to capture required documentation for up to 8-10 hours per day, for up to 5 consecutive days.
- Must be free from physical restrictions that prevent the candidate from lifting up to 50 lbs. frequently.
- Travel: 60% during peak implementation across varying verticals. 25% during off-peak implementation across varying verticals.
