Founded in 2008, Locumsmart provides web-based software-as-a-service solutions to the healthcare recruitment industry. The Locumsmart web-portal provides workflow automation, vendor management (VMS), and managed services provider (MSP) software for lowering costs, and increasing the efficiency of recruitment. Our clients include some of the largest hospital systems and staffing firms in the country. We are seeking an experienced and professional Executive Assistant to provide high-level administrative support to our CEO and Leadership Team. The ideal candidate will have exceptional communication and organizational skills, as well as the ability to work independently in a fast-paced and agile environment. We are looking for a candidate with strong problem solving and decision making skills who is proactive and has exceptional interpersonal skills. Responsibilities Manage the CEO's calendar, schedule appointments, and coordinate meetings Work in conjunction with corporate travel to coordinate travel arrangements, including booking flights, hotels, and transportation for CEO Manage email correspondence and respond on behalf of the CEO when necessary Prepare reports, presentations, and other documents as needed Be present for meetings to take notes and action items for the Leadership team and hold the team accountable for deadlines Conduct Agile ceremonies for the Leadership team Use JIRA to monitor and prioritize incoming requests and tasks for Leadership team, ensuring that urgent matters are addressed in a timely manner Conduct research and compile information for various projects Assist with special projects as needed Event planning for internal company events, including off-site Leadership team retreats, and other periodic team meetings held regionally across the country Handle confidential information with discretion and professionalism Serve as a liaison between the CEO and other departments within the company Up to 50% travel may be required Qualifications Knowledge and familiarity with Agile methodology, and related ceremonies Excellent communication and interpersonal skills Strong organizational and time management skills Ability to multitask and prioritize effectively Ability to pivot quickly as business needs change Proficiency with JIRA, Microsoft Office Suite and Google Suite Ability to work independently and with a team Strong attention to detail Preferred Bachelor's degree in business, communication, or a related field 5 years of experience as an executive assistant, preferably supporting a CEO or other senior executive Experience working at a high-growth technology company Experience in the healthcare or staffing industries Experience working in a company with a distributed workforce Knowledge of VMS systems and technology Located in or ability to commute to New York City Proficiency in any of the following languages would be a plus: Spanish, Hindi, Tamil, Russian, Ukrainian In return we offer: • 401(k) retirement plan with company match • Traditional healthcare benefits such as medical and dental coverage, and some unique benefits like onsite health centers, corporate wellness programs, and free behavioral health appointments. • Flexible work schedules - including work-from-home options available • Recognition programs with rewards including trips, cash, and paid time off • Family-friendly benefits including paid parental leave, fertility coverage, adoption assistance, and marriage counseling • Tailored training resources including free LinkedIn learning courses • Volunteer time off and employee-driven matching grants • Tuition reimbursement programs Click here to learn more about our company and culture.
