Our Client is searching for their new Office Administrator. As the Office Administrator, you will play a pivotal role in ensuring the smooth and efficient daily operations of their CPA firm. You will be responsible for managing administrative tasks, facilitating communication, and supporting various departments within the organization.

Key Responsibilities:
  • Administrative Support:
    • Handle day-to-day administrative tasks, including but not limited to filing, photocopying, scanning, and checking the mail.
    • Provide support to audit and tax staff, including but not limited to engagement letter preparation, tax return assembly, electronic filing of returns, audit report assembly, confirmation organization, etc.
    • Maintain organized and up-to-date physical records for easy retrieval.
    • Manage office and kitchen supplies.
  • Client Interaction and Communication:
    • Manage incoming calls, directing them to the appropriate staff members.
    • Greet clients and visitors with a professional and welcoming demeanor.
    • Assist in scheduling appointments and managing the firm’s calendar.
    • Coordinate client meetings, prepare meeting rooms, and ensure a seamless client experience.
  • Financial Administration:
    • Assist in basic financial tasks such as preparing deposits, maintaining petty cash bag, handling AP invoices, etc.

Qualifications:
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal skills
  • Proficient in Microsoft Office Suite and basic accounting software
  • Ability to maintain confidentiality and handle sensitive information.

Education and experience:
  • High school diploma required.
  • Previous experience in a CPA firm or financial services environment is highly desirable
