Position Summary:

 

We have an immediate opening for a full-time Administrative Assistant in our Westport, CT Office.  This role will act as a shared administrative support resource.  The ideal candidate will be experienced in handling a wide range of administrative support functions while maintaining a high level of professionalism and confidentiality. 

Responsibilities

Responsibilities:

  • Prepare and submit monthly expense reports.
  • Oversee all aspects of general office coordination and management.
  • Extensive calendar management, requiring interaction with both internal and external executives and assistants, to coordinate a variety of complex executive and informational meetings. 
  • Events and planning.
  • Help to arrange domestic and international travel where needed.
  • Answer, screen and respond to incoming calls, voicemails, and emails, in a professional and timely manner. 
  • Assist with special external and/or internal projects as assigned
  • Conduct research as needed.
    • Content development to support presentations and reporting.
    • Other administrative duties as assigned

Qualifications

Required Education and Experience:

  • High School Diploma or GED required; Bachelor’s Degree preferred
  • Minimum of 4 years related work experience
    • At least 2 years of administrative experience supporting multiple high-profile employees and their subordinate Directors and Managers
  • Personification of responsibility, reliability, and accountability a must 
  • Proficient computing skills, specifically with Microsoft Outlook, Excel, Word, and PowerPoint required with the ability to learn new programs or systems easily.
  • Experience with calendar management and the coordination of complex travel itineraries
  • Experience in booking complex travel, expense reporting, and invoicing 
  • Superior organizational skills with the ability to multi-task competing priorities while meeting strict deadlines. 
    • Adaptable to the changing requirements and the influx of various requests from Executive Team members and external organizations
  • Professionalism and discretion with confidential information
  • Strong level of intensity and commitment to providing a high level of customer service 
  • Self-sufficiency and ability to work with limited supervision and direction required 
  • Task oriented and drive completion of tasks within narrow time lines
  • Excellent written and verbal communication skills with the ability to interact effectively at all levels within the organization 
  • Ability to thrive in a fast-paced environment and work well under pressure
  • Strong decision-making ability
  • Ability to work overtime as needed.

 

Travel:

 

This position does not require travel.
