As the Accounts Payable Supervisor, you will be responsible for maintaining all financial records and accounting activity including accounts payable, budget reports, invoice payments, expense allocations, cash management, record keeping, and reconcilian of multiple checking and credit card accounts monthly. You will be required to prepare financial reporting to the executive team to include budgets, cash flow forecasts, financial reports and financial statements. You should be able to organize and maintain financial records while looking for opportunities to streamline and improve processes. You should be able to communicate professionally, have a strong customer service background, possess excellent computer and organizational skills, and embody a welcoming/friendly demeanor.
Responsibilities of the Accounts Payable Supervisor include, but are not limited to the following:
- Oversee reports regarding cash flow; ensure correct payments are made in a timely manner
- Develop guidelines for proper handling and coding of invoices to maintain general ledger expense account and inventory records
- Analyze expense reports and other invoices for accuracy and eligibility for payment
- Verify payments before controllers signature is added by reviewing checks and vouchers
- Reconcile accounts payable total and general ledger with other applicable records
- Facilitate correct and timely preparation of budget reports and purchase journals
- Ensure proper recordkeeping of purchases for use in tax preparation and periodic audits
- Ensure employer identification numbers or social security numbers have been collected from all vendors for the payables clerk to prepare and submit 1099s
- Ensure proper maintenance, filing, and storage of records in case of audits
- Assist in preparation of year end financials for tax preparation by Accountant
- Understand and follow department protocols; review for and communicate areas of process improvements to ensure utmost efficiency of department
- Develop weekly flash reports for the practice
- Communicate effectively with physicians, staff members and patients in an organized, professional and courteous manner
- Participate in regular staff meetings
- Other projects as assigned and directed by your supervisor
Requirements
- Bachelors degree in Accounting or Business Administration, with one year of experience in an accounting office; OR 3+ years of experience with at least two years in a managerial or supervisory capacity
- Excellent written, verbal, and listening skills
- Proficient in accounting software and Microsoft Office Suite or related software
- Thorough understanding of accounts payable functions
- Excellent supervisory and analytical skills
- Excellent organizational skills and attention to detail
- Ability to motivate staff
- Critical thinking, time management skills and ability to multi-task & prioritize work with strong attention to detail
- Above average customer service skills and the ability to remain calm in stressful situations
- Bilingual Spanish a plus
